Job Description

The Executive Assistant (EA) provides high-level administrative, operational, and strategic support to Senior Leadership. This role ensures seamless coordination across all functions. Acting as a central point of communication, the EA manages schedules, workflows, priorities, and executive-level deliverables while upholding the highest standards of confidentiality, accuracy, and organizational professionalism.

Key Responsibilities:

  • Manage complex calendars, scheduling, and meeting coordination.
  • Prioritize and handle daily email communications, requests, and approvals, ensuring timely responses and follow-through.
  • Prepare briefing notes, meeting agendas, presentation decks, and executive summaries.
  • Coordinate cross-functional leadership meetings, steering committees, and project reviews.
  • Facilitate communication between departments, driving timely completion of tasks and decision-making.
  • Ensure smooth execution of administrative tasks including office coordination, resource booking, and stakeholder communication.
  • Maintain project dashboards, trackers, and status reports for executive review.

Qualifications:

  • At least 12years experience supporting C-level executives in a fast-paced, complex organization.
  • Exceptional organizational, time-management, and prioritization skills.
  • Strong written and verbal communication skills with executive presence.
  • High level of discretion and ability to handle confidential and sensitive information.
  • Advanced proficiency in Microsoft Office and collaboration tools (Outlook, Teams, Excel, PowerPoint, etc.).
  • Ability to manage multiple priorities, deadlines, and competing demands with minimal supervision.
  • Strong problem-solving skills and proactive, solutions-oriented mindset.
  • Experience coordinating meetings, calendars, travel, and executive-level deliverables.
  • Ability to liaise effectively with internal teams, external partners, and senior stakeholders.
  • Detail-oriented with a high degree of accuracy and follow-through.
  • Bachelor's degree or equivalent professional experience preferred.
