Key Responsibilities
1. Executive Support
- Manage executives calendars, appointments, and travel arrangements.
- Prepare reports, presentations, and correspondence on behalf of executives.
- Handle confidential information with the highest level of professionalism.
- Coordinate meetings, take minutes, and follow up on action items.
2. Office Management
- Oversee day-to-day office operations, supplies, and facility needs.
- Manage relationships with vendors, service providers, and building management.
- Ensure the office environment is organized, safe, and efficient.
- Supervise office support staff when applicable.
3. Communication & Coordination
- Act as the primary point of contact between executives and internal/external stakeholders.
- Screen, prioritize, and respond to emails, calls, and requests.
- Coordinate internal communications and assist with company announcements.
4. Administrative & Operational Support
- Maintain document filing systems (digital and physical).
- Assist with expenses, budgeting, and invoice processing.
- Support HR and onboarding activities, including scheduling interviews and preparing welcome materials.
5. Event & Meeting Coordination
- Plan and execute company events, team meetings, and executive workshops.
- Arrange logistics, materials, catering, and attendee coordination.
Qualifications
- Bachelor's degree in Business Administration or related field (preferred).
- 3+ years of experience as an Executive Assistant, Office Manager, or similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
- Ability to work independently with strong problem-solving skills.
- High level of discretion, integrity, and professionalism.
