Job Description

PulseMediaNL is seeking a highly organized and professional Executive Assistant to join our remote team. This role is essential in providing high-level administrative support to leadership, managing schedules and communications, and ensuring smooth day-to-day executive operations in a fast-paced remote environment.

Responsibilities

  • Executive & Administrative Support
  • Manage executive calendars, appointments, meetings, and travel arrangements
  • Handle email correspondence, scheduling, and communication on behalf of leadership
  • Prepare reports, presentations, meeting agendas, and business documents
  • Support daily administrative and operational activities for executives and management teams

Communication & Coordination

  • Serve as a key point of contact between executives, employees, and external stakeholders
  • Coordinate meetings, follow-ups, and executive priorities across departments
  • Maintain clear, professional, and confidential communication at all times
  • Assist with organizing company events, meetings, and virtual conferences

Project & Task Management

  • Track deadlines, action items, and executive deliverables to ensure timely completion
  • Assist with project coordination, research, and operational initiatives
  • Support leadership with prioritization and workflow organization
  • Monitor ongoing tasks and provide regular updates to executives

Systems & Process Support

  • Use productivity tools, administrative systems, and communication platforms effectively
  • Maintain accurate records, files, and confidential documentation
  • Assist in improving administrative processes and operational workflows
  • Follow established procedures and contribute to organizational efficiency

Requirements

About the Ideal Candidate

  • 2–4 years of experience in executive support, administrative assistance, or a similar role
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High attention to detail and strong problem-solving skills
  • Ability to manage confidential information with professionalism and discretion
  • Proactive, dependable, and able to work independently
  • Comfortable working in a remote environment
  • Familiarity with productivity and scheduling tools such as Google Workspace, Microsoft Office, Slack, or similar platforms is a plus
  • Experience with CRM or administrative systems is a plus
  • High school diploma or equivalent required; additional education in business administration or a related field is a plus
