Job Description

The Executive Assistant will act as the primary point of contact between the CEO and internal/external stakeholders. This role requires a professional who can manage the CEO's complex diary, coordinate high-level meetings, and facilitate efficient communication. The ideal candidate will possess exceptional organizational skills, absolute discretion, and the ability to thrive in a fast-paced executive environment.

Key Responsibilities:

1. Executive & Administrative Support

  • Diary & Calendar Management: Proactively manage the CEO's schedule, including organizing meetings, appointments, and travel arrangements (flights, visas, accommodation) to optimize time management.
  • Communication Management: Act as the first point of contact for the CEO's office. Screen calls, emails, and correspondence, handling queries efficiently and ensuring accurate internal distribution.
  • Documentation & Reporting: Draft, compile, and prepare high-quality reports, presentations, memos, and correspondence required for meetings and board submissions.
  • Meeting Coordination: Arrange meeting logistics (venues, catering, equipment), prepare agendas, take minutes, distribute action points, and follow up on deliverables.

2. Project & Information Management

  • Confidentiality: Handle highly sensitive information with discretion and maintain strict confidentiality regarding organizational and personal matters.
  • Record Keeping: Maintain and manage efficient filing systems (digital and physical) and administrative databases.
  • Research & Investigation: Undertake background research and investigations to provide the CEO with information or advice on specific issues.

3. Stakeholder Liaison

  • Internal Coordination: Serve as a bridge between the CEO's office and various internal departments (Sales, HR, Construction) to ensure seamless communication.
  • External Representation: Liaise with clients, investors, partners, and service providers on behalf of the CEO, maintaining a professional and approachable demeanor.

Qualifications & Requirements:

  • Bachelor's degree in business administration, Management, or a related field is preferred.
  • Minimum of 2-5 years of experience in a similar Personal Assistant or Executive Assistant role, preferably within the Real Estate or Construction industry in Egypt.
  • Excellent command of both Arabic and English (written and spoken) is mandatory.
  • Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential.
  • Presentable and professional approach with excellent interpersonal skills .
  • Exceptional time-management and prioritization abilities.
  • Eager to tackle new projects and anticipate the needs of the CEO.
  • High level of integrity and ability to maintain confidentiality.
