Job Summary

More about the role

Performs and coordinates administrative tasks to support management and teams with efficient office operations. Manages communication and schedules to facilitate organizational workflow.

Key Areas of Responsibility

  • This role is responsible to support a team and/or senior leader with all administrative, organizational and operational matters in a timely manner.
  • Support and organize own projects and events
  • Data Management (including data storing and archive maintenance)
  • Assist with On and Off boarding
  • Provide travel booking and expense reporting support
  • Process purchase orders
  • Takes initiative and identifies problems in actual way of working, formulates alternatives and recommendations; develops and introduces new supporting sub-processes and improves existing processes
  • Communication management (distribution lists, announcements, Microsoft Teams)
  • Maintains confidential files and records with discretion.
  • Facilitates communication between teams to enhance collaboration.
  • Organizes and maintains office files and records to ensure easy access and retrieval.
  • Schedules appointments and meetings to optimize time management for executives.
  • Prepares and edits correspondence, reports, and presentations to support management.
  • Handles incoming calls and inquiries to provide timely information and assistance.
  • Coordinates travel arrangements and itineraries for staff and management.
  • Assists in managing budgets and expense reports to maintain financial control.
  • Supports project coordination by tracking deadlines and deliverables to ensure timely completion.

Critical Experiences

  • Bachelor's degree in Business Administration, Management, or a related field to ensure foundational knowledge in organizational and administrative functions.
  • Minimum of 7 years experience in executive support or administrative roles involving calendar management, travel coordination, and confidential communication handling.
  • No specific licenses required; however, proficiency certifications in Microsoft Office Suite and communication tools like Microsoft Teams are essential.
