Our client, a leading organization in the oil & gas sector, is seeking a highly professional and proactive Executive Assistant to support the CEO. This role requires exceptional organizational skills, strong business acumen, and the ability to operate with absolute discretion in a fast-paced, high-demand environment.
Executive Support
- Manage the CEO's schedule, prioritize meetings, and coordinate appointments with internal teams, external partners, government entities, investors, and board members.
- Prepare meeting agendas, collect materials, and record minutes when needed.
- Draft, proofread, and prepare correspondence, reports, presentations, and executive documents.
- Handle confidential and sensitive information with discretion.
Operational & Administrative Support
- Track follow-ups, deadlines, decisions, and action items assigned by the CEO.
- Maintain well-organized digital filing systems and controlled document archives.
Communication & Liaison
- Act as the primary point of contact for the CEO's office regarding business matters.
- Support communications with government authorities, regulatory bodies, shareholders, partners, and key stakeholders.
Project & Business Support
- Conduct research, compile data, and prepare briefing papers, spreadsheets, analytics and presentations for CEO decision-making.
- Support small projects and initiatives (CSR, events, audits, reports, business tasks).
- Coordinate closely with HR, Finance, Operations, Legal, and other internal departments to ensure proper flow of business-critical information.
- Assist in preparing presentations for investors, regulators, and strategic partners.
Education and Experience:
- Bachelor's degree in Business Administration or related field (preferred).
- Experience with a Big Four consultancy (audit, advisory, or similar) is preferred.
- Experience in business analysis or supporting strategic initiatives.
- 25 years of experience supporting C-level executives;
- experience in oil & gas, energy, logistics, or technical industry is an advantage.
- Strong proficiency in MS Office 365 (Outlook, Word, Excel, PowerPoint)
