Overview
Navora, under the aegis of MaritimeSolutionsLtd., is hiring an Executive Assistant to the Managing Director—a high-impact, high-visibility role that goes beyond traditional administrative support.
This position is designed for someone who can act as a strategic partner to the MD, ensuring focus, alignment, and execution across priorities. You will play a pivotal role in managing time, streamlining communication, supporting decision-making, and driving operational discipline at the leadership level.
What Will You Do
- Manage and optimize the Managing Director's calendar, priorities, and commitments
- Coordinate meetings, appointments, and leadership engagements
- Ensure effective time allocation aligned with business priorities
- Act as the central point of contact between the MD and internal/external stakeholders
- Screen, prioritize, and manage emails, calls, and correspondence
- Draft high-quality communications, reports, and presentations
- Prepare, analyse, and maintain reports using Excel (dashboards, trackers, insights)
- Ensure data accuracy, consistency, and timely reporting
- Support leadership reporting and business reviews
- Plan and coordinate internal and external meetings
- Prepare agendas, record minutes, and track action items to closure
- Drive follow-ups and ensure accountability across teams
- Assist the MD in tracking key business initiatives and strategic priorities
- Coordinate cross-functional inputs and ensure execution alignment
- Support research, presentations, and decision-making processes
- Oversee office coordination, vendor management, and administrative processes
- Ensure smooth day-to-day functioning of executive operations
The Must-Haves
- 3–6 years of experience supporting senior leadership or C-level executives
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
- Advanced Excel skills (reporting, dashboards, data handling)
- Excellent written and verbal communication in English
- High level of confidentiality, professionalism, and discretion
- Strong organizational, multitasking, and prioritization abilities
- Proactive mindset with the ability to anticipate needs and solve problems
Good to Have
- Experience in fast-paced or high-growth environments
- Exposure to strategic planning or leadership reporting
- Familiarity with AI tools and digital productivity platforms
- Arabic language skills (advantage)
