Role Description

This is a full-time on-site role for an Executive Assistant based in Giza. The Executive Assistant will be responsible for providing high-level administrative and executive support, managing schedules, preparing expense reports, handling correspondence, and assisting in the coordination of meetings and events. Additional responsibilities include acting as the primary point of contact for internal and external stakeholders while ensuring efficient organization and communication on behalf of executives.

What you'll do

  • Develop in-depth knowledge of the Chairman's workflow, functions, and short-term objectives to effectively prioritize tasks and deadlines
  • Manage Chairman's hectic calendar, ensuring optimal productivity. Manage tasks via Notion and constantly update/revise Chairman's action items and remind him of deadlines and critical follow-ups
  • Organize and prepare for meetings, ensuring all agendas and minutes are meticulously crafted.
  • Manage VIP client engagements by responding to and facilitating communications and dialogs by managing the Chairman's personal WhatsApp and inbox.
  • Mastermind travel arrangements and accommodations, ensuring every journey is seamless and luxurious to fit with the Chairman's status.
  • Assist in planning and executing corporate events, workshops, and boot camps.
  • Serve as the primary point of contact between the Chairman and key stakeholders, maintaining stellar communication across the board. Act as a gatekeeper to the Chairman, ensuring escalations and meeting requests with the Chairman are justified and/or have been routed through the proper channels first.
  • Oversee and report expenses, handling financial documentation with accuracy
  • Craft impeccable presentations, reports, and letters with precision.
  • Handle sensitive information with utmost discretion and integrity.
  • Occasionally provide support on various ad hoc projects, ensuring administrative and operational tasks are flawlessly executed

What we're looking for

  • 7-10 years of full-time professional experience in executive support and/or administrative management.
  • Previous experience with a high-profile executive is highly preferred but not required.
  • Experience in managing expense reports.
  • Strong attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to multitask and manage priorities effectively.
  • Proficiency in Microsoft Office Suite.
  • Tech-savvy, with the ability to quickly learn new tools and systems such as Notion.
  • A bachelor's Degree is a must, preferably in a business-related field.
