60HUB Dog Resort & Hotel - Executive Office Assistant (Reporting to CEO)

Job Detailed Description

1) Introduction

The Executive Office Assistant plays a central and high-impact role within 60HUB. This position represents the operational arm of the CEO and is responsible for ensuring that daily operations, internal communication, and follow-up across departments run smoothly, effectively, and in alignment with the company's expansion goals.

This role requires a highly organized, presentable, detail-oriented, and adaptable professional who can support the CEO, coordinate between departments, prepare executive-level presentations, and ensure that plans and decisions are executed without delay.

This is a long-term position designed for candidates who wish to grow with the company and develop into a senior executive role as 60HUB expands locally and regionally.

2) Role Purpose

  • Supporting the CEO in daily management and decision-making
  • Ensuring proper coordination between all departments
  • Improving organization, communication, and follow-up across the company
  • Acting as the CEO's operational extension to maintain high levels of quality and efficiency
  • Preparing structured documentation, presentations, and reports
  • Managing schedules, priorities, and meetings
  • Providing a consistent communication channel between the CEO and team members

3) Key Responsibilities

A) Executive Support

  • Managing the CEO's daily and weekly schedule
  • Preparing agendas for meetings
  • Taking minutes & producing clear action lists
  • Prioritizing tasks and organizing workflow
  • Drafting emails, memos, and communication on behalf of the CEO

B) Operational Coordination

  • Daily/regular visits to the 60HUB facility
  • Following up with department heads (training, hotel, grooming, operations, clinic, reception)
  • Monitoring quality of service and adherence to protocols
  • Reporting issues immediately to the CEO

C) Department Alignment

  • Ensuring managers tasks are executed
  • Tracking progress and closing open items
  • Acting as the link between CEO and teams

D) Reporting & Documentation

  • Preparing:
  • Daily reports
  • Weekly dashboards
  • Presentations for internal/external meetings
  • Investor presentation support
  • Expansion reports

E) Administrative Skills

  • Organizing office files & internal database
  • Handling confidential documents
  • Maintaining structured communication channels

F) Representation

  • Attending meetings on behalf of the CEO when required
  • Presenting prepared materials professionally
  • Communicating instructions clearly to managers

5) Qualifications

  • Bachelor's degree from a reputable university
  • Preferably international school or international exposure
  • Excellent English (written & spoken)
  • Strong computer literacy (Microsoft Office, Google Workspace)
  • Preferred: Experience in operations, administration, coordination, or executive support
  • Freshmid-level candidates with strong potential are welcome

6) Career Progression Path

This role is designed to grow with the company as 60HUB becomes a multi-branch and regional brand.

Phase 1 (3-6 Months)

Title: Executive Office Assistant

Salary: EGP 10,000

Focus:

  • Learning the system
  • Understanding operations
  • Building communication channels
  • Managing CEO schedule & reports

Phase 2 (After 6-9 Months)

Title: Executive Office Manager

Salary: EGP 20,000 25,000

Focus:

  • Managing operations follow-up
  • Leading coordination across departments
  • Handling presentations
  • Representing CEO when needed

Phase 3 Senior Executive Office Manager (After 12-18 Months)

Salary: EGP 30,000 40,000 (subject to performance + company growth)

Add-ons:

  • Monthly performance bonus
  • Increased decision-making authority

Phase 4 Chief of Staff (Future, during expansion)

Applicable when 60HUB becomes multi-branch.

Role will involve:

  • Leading managers
  • Structuring operations
  • Acting as CEO's main advisor
  • Supporting expansion and franchise structure

7) Working Conditions

  • 6 working days per week - onsite attendance
  • Flexibility required (meetings/events)
  • On-ground presence at the branch
  • Direct communication with CEO
  • High confidentiality required
  • Mix of office + field follow-up

8) Salary Structure

Salary: EGP 10,000

Half Year Bonuses 10-20% of salary linked to:

  • Quality of follow-up
  • Accuracy
  • Professional behavior
  • Ability to reduce CEO workload
  • Operational stability

9) What Success Looks Like

A successful Executive Office Assistant will:

  • Reduce CEO daily pressure by at least 5060%
  • Maintain clear structure in tasks and meetings
  • Ensure managers deliver weekly targets
  • Improve communication flow across all departments
  • Keep errors minimal and operations stable
  • Deliver high-quality presentations and documentation
