Job Description

Position Summary

We are seeking a highly professional, proactive, and problem-solving Executive Personal Assistant (EPA) to provide comprehensive, high-level administrative support to our CEO. The ideal candidate will be a meticulous planner, comfortable operating in a high-stakes, fast-paced environment, and possess the discretion and experience necessary to engage with VIPs, government officials, and diplomatic personnel.

This role is the organizational backbone of the CEO's demanding schedule, ensuring all professional and personal commitments are executed seamlessly.

Key Responsibilities

Executive Support & Calendar Management

  • CEO Calendar Management: Proactively manage and maintain the CEO's complex, high-volume professional and personal calendar, anticipating potential conflicts and optimizing scheduling for efficiency.
  • Meeting Preparation: Ensure the CEO is fully prepared for all meetings by compiling necessary documents, presentations, and background information well in advance.
  • Real-Time Updates: Maintain vigilance over the CEO's schedule, immediately communicating and implementing any necessary changes or last-minute adjustments with accuracy and professionalism.
  • Invitation Management: Carefully manage and track all professional and social invitations, drafting and sending appropriate, timely, and professional responses.

Travel & Logistics

  • Complex Travel Arrangements: Manage and book all professional and personal travel (domestic and international), including flights, accommodations, transportation, and detailed itineraries.
  • Travel Follow-up: Ensure smooth logistical transitions for the CEO during travel, managing any on-the-ground changes or emergencies.

Administrative & Operations

  • Task Management: Implement and utilize advanced computer tools and task management systems to track and follow up on all outstanding tasks, projects, and commitments delegated by the CEO.
  • Correspondence & Shipments: Manage and track all incoming and outgoing official correspondence, couriers, and high-value shipments, ensuring secure and timely delivery and follow-up.
  • Discretion & Confidentiality: Maintain absolute confidentiality regarding all sensitive information, professional dealings, and personal matters.

Qualifications and Requirements

Mandatory Requirements

  • Education: Bachelor's degree in business administration, Management, or a related field.
  • Bilingual Proficiency:Mandatory fluency (reading, writing, and speaking) in both Arabic and English.
  • Computer Literacy:Exceptional proficiency with task management software (Asana, Trello, Microsoft Planner), calendar applications (Outlook, Google Calendar), and the Microsoft Office Suite.

Core Competencies & Experience

  • Professional Experience: Minimum of 5 years of experience supporting a C-level executive, high-net-worth individual, or principal.
  • Diplomatic Experience (Strong Value): Proven experience and comfort interacting with diplomats, high-ranking government officials, and VVIPs. Experience gained at an embassy or in an international government-facing role is highly valued.
  • Problem-Solving Focus: Demonstrated ability to anticipate challenges, think critically, and resolve complex administrative and logistical issues independently and swiftly.
  • High Professionalism & Poise: Impeccable professional presentation and demeanor, with the ability to always exercise high-level judgment and cultural sensitivity.
  • Organizational Mastery: Exceptional organizational and time-management skills, with a rigorous attention to detail and ability to multitask effectively under pressure.
