To ensure the efficient operation of the executive office by streamlining communication, supporting senior leadership decision-making, and aligning activities with organizational priorities through effective coordination with executive leadership.
1. Strategy, Policy, and Procedure
- Assist in tracking the implementation of Board resolutions, government directives, and corporate governance requirements in coordination with relevant stakeholders, ensuring alignment with policies and regulatory standards.
- Adhere to departmental policies, processes, and standard operating procedures to maintain compliance and governance consistency.
- Handle sensitive and confidential information with the highest level of discretion to protect organizational interests.
2. Administrative Support
- Manage daily schedules, appointments, and travel arrangements for executive leadership and the Senior Director to ensure effective coordination.
- Draft, review, and manage correspondence, reports, and presentations in line with governance standards, ensuring timely follow-ups.
- Attend internal meetings, document discussions, prepare minutes, and submit them for review.
- Organize and distribute meeting materials, including agendas and supporting documents.
- Circulate meeting minutes highlighting key decisions, action items, and responsibilities, and follow up on execution.
- Provide administrative support, including filing official documents and maintaining confidential records.
- Keep the Senior Director informed of significant updates, regulatory changes, and best practices.
- Consolidate board-level or executive materials provided by relevant secretariat functions for leadership review.
Project Support
- Provide administrative and logistical support for special projects, including progress tracking, performance monitoring, and timely reporting.
- Provide ad-hoc support for strategic, government excellence, or cross-functional initiatives as required.
3. Executive Support
- Prepare and review strategic briefings, reports, and presentations to support executive decision-making.
- Maintain accurate records of executive meetings, resolutions, and official disclosures.
- Coordinate with internal and external stakeholders to support key initiatives and ensure regulatory compliance.
4. Stakeholder Coordination
- Facilitate effective communication between executive leadership and internal stakeholders to ensure alignment with strategic objectives.
- Support communication with regulatory bodies and external stakeholders to ensure timely submission of reports and compliance documentation.
- Work closely with internal teams to monitor project progress and provide updates on critical initiatives.
- Assist in tracking governance and compliance activities to ensure adherence to organizational standards.
- Respond to stakeholder inquiries with accurate and timely information.
5. Reporting
- Ensure timely dissemination of executive decisions to relevant stakeholders.
- Prepare progress reports highlighting key achievements, challenges, and areas requiring attention.
6. Other Responsibilities
- Perform any additional duties related to the role as assigned by the line manager.

Qualifications & Knowledge
- Bachelor's degree in Business Administration, Corporate Governance, or a related field.
Experience
- 57 years of experience in a senior executive support role within a large organization, with proven exposure to corporate governance, strategic initiatives, and high-level stakeholder communications.
