Over the past decade of operating in the Middle East, Downtown Design has firmly established itself as the leading contemporary and quality design fair in the Middle East and a catalyst for growth in the region's creative scene. Dedicated to original and contemporary, the fair showcases an edited selection of the latest collections, innovative products and design solutions by design brands and manufacturers from around the world, alongside limited-edition and bespoke design by studios, collectives and independent designers from the region and beyond. The fair is complemented by a collateral programme of pop-up concepts, creative and live talks, catering to each relevant audience; from international A&ID professionals or HNWIs to local homeowners and design-curious consumers, alike.

Role Overview

This role supports the successful delivery of large-scale events by assisting across research, data management, digital platforms, and on-the-ground operations. Working closely with the CRM, Marketing and Operations teams, the role plays a key part in maintaining accurate databases, managing exhibitor information, supporting website updates, and coordinating event logistics. It is well suited to someone who is highly organised, adaptable, detail-oriented, and eager to gain hands-on experience in a fast-paced events environment.

Responsibilities:

  • Monitor and manage exhibitor inbox enquiries, sending reminders/announcements through mail merges and ensure all submitted assets and documents are properly organised and filed.
  • Monitor and manage marketing inbox enquiries, coordinate follow-ups to chase for required materials, and ensure all submitted assets and documents are properly organised and filed.
  • Assist with updating trackers and documentations accordingly such as exhibitor communications, payment tracker (if required), presentations decks, etc.
  • Manage the portal process for exhibitors and contractors(review ID's and information for approval).
  • During set-up and live days, you will be mainly stationed at the welcome desk to distribute badges to exhibitors upon their arrival on-site, ensuring proper identification and verification and to provide exhibitors assistance with any badge-related issues or concerns, such as lost or incorrect badges.
  • Assist exhibitors inquiries during set up, live days, and dismantle days.
  • Provide logistical support, including assisting with the setup of exhibitor booths and ensuring that all required materials are provided.
  • Monitor exhibitor areas to ensure compliance with event policies and assist with any on-site adjustments.
  • Offer exceptional customer service to exhibitors, including answering questions and providing necessary information about the event.
  • Facilitate smooth interactions between exhibitors and event organizers to ensure a positive experience for all parties.
  • Perform additional tasks as required by the event management team to ensure the successful execution.
  • Help manage other interns and volunteers helping out in relevant areas during the fair.

The ideal candidate should be able to do the following:

  • Ability to interact positively with exhibitors, address their needs, and provide high-quality support.
  • Willingness to adapt to changing circumstances and perform additional tasks as needed.
  • Ability to address and resolve issues related to exhibitor badges or on-site problems efficiently.
  • Ability to work extended hours or adjust schedules as required by event demands
  • Exceptional interpersonal skills to provide excellent service to exhibitors
  • Ability to handle inquiries, resolve issues, and maintain a positive demeanor.
  • Ability to convey information and instructions effectively to exhibitors and team members.
  • Quick thinking and adaptability to address and resolve issues as they arise.
  • Ability to remain calm under pressure and find effective solutions.
  • Strong organizational skills to ensure smooth operations during the event.

This is a full-time, on-site traineeship running from 5 January to 13 February. Candidates must already be based in the UAE and hold a valid UAE residency visa, and be available to travel to KSA as required.
