Job Description

Job Specific Accountabilities:

Housing Management

  • Lead the efficient delivery and receipt of housing units, to ensure strict adherence to approved housing regulations.
  • Lead the establishment and maintenance of a comprehensive database for housing units, to streamline the process for requests and inquiries.
  • Lead the collaboration with relevant stakeholders to address residents needs promptly, including resolving issues related to electricity, water, and maintenance services.
  • Lead the implementation of innovative solutions to enhance resident satisfaction, conducting regular surveys to gather feedback for continuous improvement.

Fleet Management

  • Lead the implementation of data-driven strategies for optimizing the use of the vehicle fleet, to ensure the availability of cars and drivers to serve business requirements and minimize idle time.
  • Lead the maintenance of the fleet management database, including information about the vehicle registration, insurance providers, maintenance schedule, and driver information to facilitate scheduling and information retrieval and tracking system.
  • Lead the collaboration with service providers to deliver top-notch services to drivers and users, from repairs and fueling to cleaning and insurance.

Construction and Engineering Project Management

  • Lead the collaborative effort with relevant departments to thoroughly review and establish requirements for construction projects.
  • Lead the study, design, and preparation of comprehensive tender documents for construction projects, to ensure accuracy and clarity.
  • Lead the establishment and enforcement of quality control measures to guarantee the highest standards in project deliverables,
  • Lead the conduction of thorough evaluations of each project, to analyze costs, objectives, and the degree of alignment with overall departmental strategies.
  • Lead the establishment of robust control mechanisms to monitor project progress, intervening as necessary to address issues promptly, preventing delays and budget overruns.
  • Guide the preparation of comprehensive periodic reports on departmental performance, to provide detailed insights, trends, and recommendations for continuous improvement.
  • Lead the participation in the preparation of the annual budget requirements for new and ongoing projects, to provide detailed justifications and cost breakdowns.

Facilities Planning and Maintenance

  • Supervise the day-to-day operations of the organization facilities including buildings, laboratories, gardens, roads, sidewalks, and parking to ensure continued safety functionality.
  • Lead periodic inspections of the organization buildings and facilities and establish a proactive maintenance program, to identify and address potential issues and ensure adherence to established standards and regulations.
  • Lead the development and refinement of facilities plans, policies, and guidelines to align with industry best practices and organizational goals.
  • Lead the participation in renovation and construction projects, to ensure the alignment with organizational needs and standards.
  • Lead the preparation of meticulous bid documents following contract signings, to ensure accuracy, completeness, and adherence to regulatory requirements.
  • Lead the fostering of strong relationships with vendors and subcontractors, to ensure clear communication and delivery of services up to the agreed standard and quality.

Utility Bills Management

  • Lead the development and implementation of robust procedures meticulously tracking and verifying all transactions to pay utility bills.
  • Lead the proactive identification of opportunities to optimize utility consumption and costs.
  • Guide the establishment of a responsive system for addressing residents concerns and feedback related to utility services, ensuring a high level of customer service.

Minimum Qualification and Experience:

  • Bachelor's degree and 8+ years of relevant experience and Preferred 4 years in a leadership role.
  • Engineering, Facilities Management, or any other relevant field.
