Responsibilities:
The FM Planning Manager is responsible for the strategic planning, scheduling, and performance management of facilities management services delivered by third-party providers. This role ensures that all FM activities align with the organization's objectives, maximizing service efficiency, cost-effectiveness, and compliance with SLAs. The role requires strong stakeholder engagement, contractor management, and data-driven decision-making to maintain high operational standards.

- Develop and implement the facilities management strategy, ensuring alignment with the organization's objectives.
- Oversee planned, reactive, and compliance-driven maintenance activities, ensuring optimal service delivery.
- Support asset lifecycle planning to improve long-term operational efficiency and cost management.
- Drive continuous improvement initiatives, ensuring best practices in FM planning, sustainability, and cost optimization.
- Manage and oversee FM service providers, ensuring contracts are delivered in line with SLAs, KPIs, and financial constraints.
- Monitor contractor performance, identifying risks and areas for improvement.
- Conduct regular performance reviews, audits, and service validation against agreed KPIs.
- Work closely with procurement teams to review FM contracts, tender processes, and supplier agreements.
- Act as the key interface between the client organization, FM service providers, and internal stakeholders.
- Liaise with senior management, departmental heads, and end-users to ensure FM services meet business needs.
- Ensure effective communication between service providers and internal teams to minimize service disruptions.
- Develop and maintain strong relationships with suppliers, ensuring best value for money and high service standards.
- Ensure that all FM services adhere to statutory and regulatory requirements (e.g., Health & Safety, Fire Safety, Building Regulations).
- Oversee compliance reporting, audits, and risk assessments.
- Ensure robust business continuity and contingency planning to mitigate service failures.
- Monitor HSE (Health, Safety, and Environmental) compliance and drive ESG (Environmental, Social, and Governance) initiatives.
- Utilize CAFM system (Maximo) and other FM technology platforms for service tracking, reporting, and planning.
- Monitor FM spend, budgeting, and cost controls, identifying opportunities for savings.
- Generate data-driven insights, preparing reports for senior leadership on FM performance, service trends, and strategic recommendations.
- Develop and track KPIs and benchmarking metrics to assess service effectiveness.
- Align FM operations with corporate sustainability goals, driving initiatives for energy efficiency, waste reduction, and carbon footprint minimization.
- Prepare regular reports for senior management, highlighting areas for improvement and cost-saving opportunities.
- Ensure all health, safety, and environmental regulations (ISO 45001, ISO 14001, and ISO 50001) are adhered to.
- Develop and implement risk mitigation plans to minimize operational disruptions.
- Conduct regular reviews and meetings with key stakeholders to align facilities planning with business needs.
- Collaborate with construction teams to ensure seamless building handovers.
Implementing and monitoring Performance Management Systems for all Service Providers.
