We're Hiring: Receptionist
We are looking for a professional and organized Receptionist to join our team and manage front-desk operations while supporting daily administrative activities.
Key Responsibilities:
- Greet visitors in a professional and courteous manner.
- Organize and manage visitor flow based on scheduled appointments and visitor capacity.
- Coordinate with concerned departments prior to allowing visitor entry.
- Do not allow access to the office without prior approval from the direct manager.
- Manage and coordinate CEO visitors, ensuring all meetings run according to schedule.
2. Office Operations
- Handle all incoming deliveries and ensure proper distribution to concerned parties.
- Monitor employee movement within the office when required.
- Manage meeting room bookings; all reservations must be coordinated through the reception.
3. Administrative & Secretarial Support
- Provide administrative support to Heads of Departments within defined responsibilities.
- Handle secretarial tasks for Heads, including scheduling meetings and coordinating calendars.
- Assist in organizing daily administrative activities.
4. Facility & Maintenance Coordination
- Follow up on utility bills (water, electricity, air conditioning).
- Coordinate office maintenance and ensure all issues are addressed promptly.
- Report any operational or facility-related issues.
5. Data Management
- Maintain and update the company database (clients , vendors & visitors).
- Ensure data accuracy and proper documentation.
- Add new client information as needed.
Requirements:
- Bachelor's degree in a relevant field
- 1–3 years of experience in a similar role
- Strong communication and organizational skills
- Professional appearance and attitude
- Good command of English
- Proficiency in Microsoft Office
