The role
We are looking for an experienced HR and Administrative professional to take a leading role in strengthening our internal systems and processes.
This is a hands-on role for someone who demonstrates strong leadership in people management and work culture, brings solid operational discipline, and can build new structures within a dynamic and ambitious company.
The successful candidate will have proven HR experience, excellent organisational skills, a proactive problem-solving mind-set and a high level of detail and accuracy. They should be comfortable being tasked to lead on projects to improve internal workflows, including using practical tools and AI to make routine tasks more efficient.
A strong understanding of Qatar's compliance and regulatory environment is essential. Experience supporting financial administration is a plus.
Core tasks
HR & People Operations
- Manage the end-to-end employee lifecycle: onboarding, probation, contract updates, and offboarding
- Maintain accurate employee records, contracts, and HR documentation
- Manage leave tracking, absences, and holiday calendars
- Support recruitment logistics: finding candidates, scheduling interviews, coordinating offers, preparing onboarding plans
- Act as the first point of contact for staff HR questions (policies, leave, documentation, workplace support & wellbeing)
- Maintain and update HR policies and employee handbook where needed
- Support performance review cycles and related administration
- Handle sensitive matters discreetly and maintain strict confidentiality
Compliance & Qatar Labour Administration
- Ensure HR practices and documentation comply with Qatar labour law
- Coordinate visa, residency, and Ministry-related processes as required
- Manage compliance documentation deadlines and renewals (ID, permits, insurance, etc.)
Payroll, Benefits & Employee Logistics
- Prepare and manage monthly payroll
- Administer employee benefits (e.g., medical insurance) and maintain provider relationships
- Support travel and logistics for employees when required
Office & Administration Management
- Manage day-to-day office operations and ensure the workplace runs smoothly
- Coordinate suppliers and vendors (office supplies, maintenance, IT support, couriers)
- Organise operational processes and systems (templates, documentation, internal trackers, filing)
- Coordinate company-wide updates, internal communications, and team activities/events
Preferable Financial Administration Support
- Support invoice collection and supplier payment coordination (in coordination with finance/accounting)
- Track expenses and maintain basic administration records to support budgeting and reporting
- Maintain organised documentation for audits or external accounting support
Skills & Experience
Must-have:
- 7+ years experience in HR and administration
- Strong working knowledge of Qatar labour law and HR compliance requirements
- Proven experience managing core HR processes end-to-end
- High level of discretion, professionalism, and ability to handle sensitive matters
- Excellent organisational skills and attention to detail; able to manage multiple priorities and deadlines
- Demonstrable experience improving internal systems and processes
- Strong communication skills and ability to work effectively across the team and with leadership
- Fluent English (written and spoken)
Nice-to-have:
- Arabic speaker (preferred)
- Prior experience in a small company or fast-growing environment
- Experience coordinating with external partners such as insurers, legal advisors, payroll support, and vendors
- Experience supporting payroll administration (inputs, allowances, entitlements)
- Experience supporting basic financial administration (supplier coordination, invoice tracking, expense records)
- Background in employee engagement and culture initiatives (team events, internal communications)
