Job Description

Position Overview:

The HR Operations Specialist is responsible for ensuring efficient HR service delivery across employee lifecycle processes including onboarding, offboarding, payroll support, HR systems administration, employee data management, and policy compliance. The role supports day-to-day HR operational activities and collaborates closely with HR business partners, recruitment, payroll, and administration teams to maintain a seamless employee experience.

Key Responsibilities:

  • Manage end-to-end employee onboarding processes (documentation, contracts, orientation scheduling, system access).
  • Handle offboarding activities including exit interviews scheduling, clearance forms, final settlements, and system removal.
  • Maintain accurate employee records in HR systems (HRIS) and ensure timely data updates.
  • Support payroll preparation by validating attendance, leaves, overtime, deductions, and employment changes.
  • Monitor employee probation, contract renewals, visa expiration, and other workforce lifecycle dates.
  • Ensure compliance with company policies, labor laws, and HR regulations.
  • Prepare HR reports such as headcount, turnover, absenteeism, and organizational changes.
  • Coordinate with government relations for work permits, visas, medical insurance, and related issuance/renewal.
  • Respond to employee inquiries related to HR policies, salary slips, leaves, benefits, and employment letters.
  • Manage HR documentation including employment contracts, NDAs, amendments, warnings, and letters.
  • Support HR audits and ensure proper documentation and filing readiness.
  • Assist in HR policy updates, HR system enhancement, and process improvement initiatives.
  • Collaborate with recruitment to ensure smooth candidate transition into employee status.
  • Maintain confidentiality and secure handling of employee records and HR data.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • 25 years of experience in HR operations or HR administration.
  • Strong knowledge of labor laws, HR policies, and employment practices.
  • Familiarity with HRIS / HRMS platforms, payroll systems, and digital personnel files.
  • Proficiency in MS Office, especially Excel.
  • Excellent communication and organizational skills.
  • High attention to detail and accuracy.
  • Ability to handle sensitive information professionally and confidentially.
  • Ability to work in a fast-paced, employee-centric environment.

Preferred Qualifications:

  • Experience working in multinational workforce environments.
  • Exposure to HR analytics or HR service delivery frameworks.
  • Experience with HR digitalization projects or workflow automation.
  • Knowledge of benefits administration and payroll cycles.
