Job Summary
We are seeking a highly organized and proactive Project Coordinator to support the planning, execution, deployment, and closure of strategic technology, cybersecurity, infrastructure, and digital transformation projects.
The Project Coordinator will work closely with Project Managers, technical teams, vendors, and stakeholders to ensure projects are delivered within agreed timelines, scope, quality standards, and organizational requirements. The role is responsible for project tracking, documentation management, meeting coordination, risk and issue monitoring, stakeholder communication, and operational readiness activities.
The successful candidate will contribute to project governance, maintain project controls, support deployment activities, and ensure project documentation remains accurate and up to date throughout the project lifecycle.
Key Responsibilities
Project Coordination & Administration
- Support Project Managers in planning, execution, monitoring, and closure of projects.
- Maintain project schedules, action logs, risk registers, issue logs, and change request records.
- Track project milestones, deliverables, dependencies, and deadlines.
- Monitor project progress and follow up on outstanding tasks and action items.
- Assist in maintaining project governance documentation and project controls.
- Support project resource coordination and scheduling activities.
Schedule & Progress Tracking
- Update and maintain project schedules using Microsoft Project or similar tools.
- Track project activities against agreed timelines and milestones.
- Monitor project performance and escalate potential delays or issues.
- Prepare weekly and monthly project status reports.
- Support KPI tracking and progress reporting.
Stakeholder & Communication Management
- Coordinate project meetings, workshops, and stakeholder sessions.
- Schedule and organize:
- Project Kickoff Meetings
- Weekly Status Meetings
- Technical Workshops
- Handover Meetings
- Lessons Learned Sessions
- Project Closure Meetings
- Prepare meeting agendas, minutes of meetings (MoM), action items, and follow-up reports.
- Ensure timely communication between project teams, vendors, and business stakeholders.
- Support communication through Microsoft Teams, email, conference calls, and collaboration platforms.
Risk, Issue & Change Coordination
- Maintain Risk Registers, Issue Logs, and Change Request Logs.
- Follow up on mitigation actions and resolution activities.
- Escalate unresolved risks and issues to the Project Manager.
- Track implementation of approved change requests.
Deployment & Operational Readiness Support
- Assist with project deployment activities and rollout planning.
- Coordinate testing activities, UAT sessions, pilot deployments, and go-live support.
- Track deployment readiness checklists and acceptance criteria.
- Support transition-to-operations and handover activities.
- Assist in post-deployment stabilization and issue tracking.
Documentation Management
Maintain and organize project documentation including:
- Project Charter
- Project Plans
- Meeting Minutes
- Risk Register
- Issue Log
- Change Log
- Deployment Plans
- Test Plans
- User Acceptance Testing (UAT) Documentation
- Handover Documentation
- Operational Readiness Documentation
- Project Closure Reports
Ensure all documentation is stored, version controlled, and accessible to relevant stakeholders.
Quality & Compliance Support
- Support compliance with organizational policies and procedures.
- Ensure project documentation follows approved standards and templates.
- Assist with quality reviews and project audits.
- Support adherence to cybersecurity and information security requirements.
Vendor & Team Coordination
- Coordinate activities between internal teams, external vendors, and contractors.
- Follow up on vendor deliverables and project commitments.
- Support procurement and onboarding activities where required.
- Assist in coordinating multidisciplinary technical teams.
Required Qualifications
- Bachelor's degree in Information Technology, Computer Science, Engineering, Business Administration, Project Management, or a related field.
- 2–5 years of experience in Project Coordination, PMO, Project Administration, or Project Support roles.
- Experience supporting IT, infrastructure, cybersecurity, cloud, telecom, or digital transformation projects.
- Familiarity with project management methodologies (Waterfall, Agile, or Hybrid).
Preferred Certifications
One or more of the following is preferred:
- CAPM (Certified Associate in Project Management)
- PMP (Project Management Professional)
- PMI-ACP
- PRINCE2 Foundation
- Scrum Master Certification
- ITIL Foundation
