The Job Summary

The Inventory Support Officer is responsible for providing support in the procurement, storage, distribution, and tracking of spare parts to support the repair and maintenance operations of vehicles; working closely with various departments, including maintenance, service, and procurement, to ensure timely availability of spare parts while minimizing costs and optimizing inventory levels.

Inventory Control & Maintenance System

  • Perform all inventory management and maintenance tasks efficiently and effectively, ensuring a well-organized and readily accessible parts inventory.
  • Implement inventory planning strategies to forecast demand for spare parts. This involves analysing historical data, sales trends, and customer feedback to predict future needs.
  • Determine optimal stock levels for various spare parts, considering factors like lead times, demand fluctuations, and storage costs helping in striking a balance between having enough parts available and avoiding overstocking.
  • Identify critical spare parts that require consistent stock availability to minimize service delays and customer inconvenience.
  • Monitor inventory levels closely and initiate timely replenishment orders to maintain adequate stock levels and avoid stock outs.
  • Implement and maintain robust inventory tracking systems and procedures to accurately monitor stock movements, including parts received, issued, and adjusted.
  • Identify any discrepancies in inventory records and conduct thorough reconciliations to maintain data accuracy.
  • Ensure proper storage and organization of spare parts inventory using appropriate methods to prevent damage, deterioration, or loss by following best practices for part categorization, labelling, and rotation to maintain an efficient and well-organized storage system.
  • Coordinate the distribution of spare parts to various departments or service centres based on demand while ensuring timely delivery, order accuracy, and proper documentation to maintain efficient parts flow within the aftersales network.

Financial Operations & Cost Strategy Development Support

  • Carry out cost-effective administration of all company resources within Parts Management Department.
  • Engage frequently with the business leaders and staff, modelling integrity, respect, agility, and sound judgment in all activities and interactions.
  • Participate in organization's budgeting cycle and keep a hawk's eye on the budgeting process, developing cost-saving mind-set and managing all relevant resources with cost effectiveness.
  • Support the formulating strategies that result in positive and cost-effective financial impact for the organization and ensuring all planned spending are within the allocated budgets.
  • Assist in controlling expenses related to spare parts procurement, storage, and distribution to optimize costs while maintaining quality standards.
  • Monitor and track expenses related to spare parts inventory management, including purchase costs, storage costs, transportation costs, and obsolescence costs.

Procurement & Inventory

  • Implement comprehensive procurement strategies that prioritize a delicate balance between cost-effectiveness, quality of parts, and fostering strong, long-term relationships with key suppliers.
  • Ensure compliance of criteria for evaluating potential vendors; conduct thorough supplier assessments, examining factors such as manufacturing capabilities, quality control procedures, past performance data, and competitive pricing. Hence ensure the selection of best partners for Nissan's aftersales needs.
  • Play a supportive role in effectively handling contracts throughout the lifecycle.
  • Generate and process purchase orders for spare parts with meticulous attention to detail while ensuring accuracy, completeness, and strict compliance with Nissan's established procurement policies and procedures.
  • Collaborate with the Nissan team during contract negotiations with suppliers, while leveraging analytical skills and negotiation expertise to secure the most favorable terms, pricing, and service-level agreements.

Bachelor's degree in Business Administration

Professional Certifications

CSCP (Certified Supply Chain Professional) preferred

Experience

Minimum 3 years experience in parts inventory
