Job Description

Position Objectives:

The Project Specialist supports the planning, execution, and delivery of IT projects by ensuring effective coordination, documentation, communication, reporting, and progress tracking. This role works closely with project managers, technical teams, vendors, and business stakeholders to keep project activities on schedule, within scope, and aligned with organisational objectives.

Job Description & Responsibilities:

Project Support & Coordination

  • Assist in the development of project plans, schedules, work breakdown structures, and resource allocations
  • Coordinate daily project activities, ensuring tasks are assigned, tracked, and completed on time
  • Maintain project documentation, including requirements, meeting minutes, action logs, RAID logs (Risks, Assumptions, Issues, Dependencies), and change requests
  • Support project managers in preparing status reports, dashboards, and presentations for leadership

Project Reporting

  • Designs, documents, and manages automated reporting and secure data transfers.
  • Continuously improves accessibility, quality, and accuracy of data analysis and reporting.
  • Assists with data extraction and delivers reports in a timely and accurate manner.
  • Proactively identifies reporting improvement opportunities.
  • Drives efficiencies through report automation and consolidation.

Communication & Stakeholder Management

  • Serve as a central point of contact for project communications across technical and business teams.
  • Facilitate project meetings, workshops, and follow-ups to ensure alignment and timely decision-making.
  • Communicate project updates, risks, and issues clearly and proactively to stakeholders.
  • Vendor & Resource Coordination
  • Coordinate with external vendors, contractors, and service providers to ensure the timely delivery of project components.
  • Track resource availability, onboarding, and allocation across project phases.
  • Process & Quality Assurance
  • Ensure adherence to project governance frameworks, methodologies (Agile, Waterfall, or hybrid), and compliance requirements.
  • Monitor project deliverables for quality and completeness before submission or deployment.
  • Support continuous improvement by identifying process gaps and recommending enhancements.

Qualifications & Experience:

  • Bachelor's degree in a science or engineering discipline
  • A minimum of 3-5 years experience, preferably within an IT or Telecommunication environment.
  • Saudi Nationals will be ideal to apply.
  • A certificate in project management (PMP) will be considered
  • a plusGood knowledge in Microsoft Office
  • SuiteProficiency in Microsoft Excel (graphing, pivot tables, formulas, data manipulation)
  • Proficiency in Business Intelligence tools (Power BI, Access, etc.) is preferable
  • Strong analytical and research abilities with close attention to detail.
  • Strong adaptability and a drive for continual improvement.
  • Effective stakeholder communication and coordination abilities.
  • Ability to systematically verify data and perform QA on deliverables.
  • Ability to apply analytical thinking and maintain reporting accuracy.
  • Experience in time management, task prioritisation, and project milestone tracking.
  • Strong organisational skills and ability to perform under pressure without compromising quality.
  • Excellent verbal and written communication skills in English; knowledge of Arabic is an advantage.
