We are seeking a highly organized, proactive, and detail-orientedLead Executive Administrative Assistantto provide high-level administrative support to senior leadership in a fully remote environment. This role is responsible for executive calendar management, strategic coordination, cross-functional communication, operational oversight, and confidential administrative support.
The Lead Executive Administrative Assistant will act as a trusted partner to executive leadership, ensuring seamless day-to-day operations, efficient workflow management, and proactive problem-solving across a fast-paced, distributed organization. This role requires exceptional organizational skills, strong written and verbal communication, discretion, and the ability to manage competing priorities with professionalism and precision.
This position is ideal for someone who thrives in executive support roles, enjoys managing complex schedules, coordinating high-level initiatives, and serving as a key operational liaison across departments.
Key Responsibilities Executive Support & Calendar ManagementManage complex executive calendars, including scheduling internal and external meetings across multiple time zones
Coordinate virtual meetings, executive briefings, and strategic planning sessions
Prepare meeting agendas, presentation materials, reports, and follow-up documentation
Anticipate scheduling conflicts and proactively resolve calendar challenges
Support leadership with project coordination, tracking action items, and ensuring timely execution of key initiatives
Assist in preparing executive reports, dashboards, and business summaries
Coordinate cross-functional collaboration between departments
Maintain visibility into organizational priorities and help streamline executive workflows
Serve as a primary point of contact for executive communications
Draft professional correspondence, internal announcements, and external communications
Liaise with senior leaders, clients, partners, and vendors
Ensure clear, consistent communication flow across remote teams
Handle sensitive information with discretion and confidentiality
Manage document organization, digital filing systems, and internal records
Oversee travel planning, expense reporting, and vendor coordination as needed
Maintain organized documentation and standardized administrative processes
Identify opportunities to improve administrative systems and executive workflows
Implement process improvements to enhance productivity and scalability
Support adoption of productivity tools and collaboration platforms
Create and maintain standard operating procedures (SOPs)
5+ years of experience supporting C-level executives, senior leadership, or founders
Exceptional organizational skills and advanced time management abilities
Strong written and verbal communication skills
Ability to manage multiple priorities in a fast-paced, remote environment
High level of discretion and professionalism
Proficiency with productivity tools such as Google Workspace, Microsoft Office, Slack, Zoom, and project management platforms
Experience coordinating across multiple time zones
Experience in high-growth startups, technology, SaaS, or corporate environments
Project management experience or certification
Experience supporting distributed or global teams
Familiarity with CRM systems, financial reporting tools, or workflow automation software
Fully remote role with standard full-time expectations
Requires flexibility to accommodate executive schedules
