Job Purpose Overview:

The role holder is responsible for providing administrative and organisational support to the DHH Legal Team. The role holder is required to manage legal documents and correspondence, maintain accurate entity records on SharePoint and take responsibility for company secretary matters. These administrative tasks undertaken by the role holder will allow the DHH Legal Team to focus on critical casework, legal matters and strategy. The role holder will contribute to the DHH Legal Team's efficiency, accuracy and ability to focus on existing projects and future deals, which are pivotal to DH's overarching 2030 expansion strategy.

Key Responsibilities:

  • Document Management: Proofreading documents for typos, formatting and missing / inaccurate information.
  • Organising legal documents, contracts, and correspondence. Arranging signatories for contracts.
  • Record Keeping: Maintaining accurate legal filing systems and records, monitoring expiry dates for hotel management agreements, constitutional documents, hotel licences, POAs and key operating contracts and progressing renewals with the respective DH legal teams.
  • Data Entry: Accurately inputting and managing information in legal databases and software systems, including CSC (company secretary platform), iManage and MASDAR.
  • Company secretary assistance: Working with CSC to ensure up to date filings for certain DHH entities.
  • Communication: Liaising with operators and hotel teams to progress administrative legal matters.
  • Team Collaboration: Conducting effective inter-department communication and acting as the dedicated interface legal enquiries.
  • Meeting Support: Managing calendars, scheduling meetings, preparing agendas and PowerPoint presentations, compiling materials and taking detailed minutes.
  • Compliance Assistance: Maintaining alignment with internal legal policies and procedures

Key Requirements:

  • At least 5 years experience in legal administration or similar roles in the GCC region.
  • Minimum of a Bachelor's degree or similar certification in legal studies, business administration, or a related field.
  • Good level of understanding of the hotel lifecycle including acquisition, development, operation and divestment.
  • Knowledge of typical hotel contracts and understanding of contract administration duties.
  • Strong proficiency in Microsoft Office Suite, legal software and other document management systems.
  • Establish and maintain relationships with all DHH departments to foster effective communication.
  • Knowledge of internal policies to ensure adherence to legal procedures.
  • Excellent written and spoken English communication skills
  • Advanced organisation and time management skills, meticulous attention to detail, interpersonal skills.
