Role Overview

We are seeking an experienced and detail-driven Luxury Retail Project Coordinator / Project Manager to join our team. This role is crucial to the delivery of high-end projects, including luxury retail stores, podiums, pop-ups, and exhibition stands.

As a Luxury Retail Project Coordinator / Project Manager, you will be coordinating and fully managing projects from concept development through site execution and handover, ensuring alignment with global brand standards, client expectations, budgets, and timelines. You will serve as the central link between clients, suppliers, contractors, and internal teamsfacilitating communication, tracking progress, and maintaining precise project documentation.

Key Responsibilities

Project Coordination & Management

  • Coordinate and manage luxury retail projects
  • Develop and maintain detailed project schedules, work programs, and progress reports
  • Support and lead project planning, budgeting, cost control, and forecasting
  • Monitor site progress and proactively identify risks, delays, or quality issues

Client & Stakeholder Liaison

  • Act as a key point of contact between clients, suppliers, and contractors
  • Ensure alignment with luxury brand guidelines, design intent, and approval processes
  • Lead and support client meetings, prepare agendas, presentations, and reports
  • Coordinate approvals, mock-ups, and material submissions

Procurement & Vendor Management

  • Support and manage procurement activities, including supplier negotiations, and purchase orders

Documentation & Quality Control

  • Prepare, maintain, and control all project documentation, drawings, specifications, and handover files
  • Ensure strict adherence to company standards, client specifications, and local authority requirements
  • Conduct site inspections to ensure quality, workmanship, and brand compliance
  • Support snagging, testing, commissioning, and final handover processes

Process Improvement

  • Identify opportunities to improve project workflows, reporting, and coordination processes
  • Support continuous improvement initiatives within the project delivery team

Qualifications & Skills

  • Proven experience as a Project Coordinator or Project Manager within luxury retail, interior fit-out, or high-end construction
  • Strong understanding of retail processes, mall regulations, and luxury brand requirements
  • Proficiency in AutoCAD, SketchUp, Adobe Illustrator, Microsoft Office Suite, and project management tools
  • Strong organizational, leadership, and multitasking abilities
  • Excellent communication and client-facing skills
  • Ability to manage multiple projects in a fast-paced, deadline-driven environment

Education & Certifications

  • Bachelor's degree in Project Management, Construction Management, Architecture, Interior Design, Engineering, or a related field
  • PMP or other project management certifications are an advantage (for Project Manager level)
