Job Description

Key Responsibilities:

  1. Formulates, develops, revises and submits for approval key policies and Standard Operating Procedure (SOP) related to custody management.
  2. Ensures effective systems are in place for registration of items to employees and monitors that items that are allocated to employees as part of their nature (e.g. stethoscope, PC) are registered as personal custody of that employee.
  3. Ensures effectiveness of procedures and monitors that preeminent custody items and gifts (e.g. medical equipment, non-medical gifts, furniture) given from advertising companies for departments, entities or individual are timely and accurately registered.
  4. Manages and Ensures effectiveness of procedures and approves clearance certificates for employees upon resignation, retirement, transfer, death or vacations and their ratification by the Inventory Control Department.
  5. Establishes clear system-wide policies and procedures for departments, sections and individuals on how to deal with the items custody, from receiving to return / handover to the organization.
  6. Participates and recommends in audit committees regarding inventory and custody cases and related matters.
  7. Leads and approves committee and audit decisions related to transfer of custody from one department to other or one person to other.
  8. Manages and reviews use of Key Performance Indicators (KPIs) for evaluation and development of the section's activities and employees.
  9. Accountable for developing and improving work methods and procedures for the section.
  10. Provides general administrative support, including task-assignment, coordination and follow-up with section's staff to expedite action on the various matter assigned within the section.
  11. Ensures smooth section functioning, actively addresses issues and problems, sets & guides section supervisors training goals, performance and concerns.
  12. Formulates tasks, plans, resolves work-related problems related to performance, workload, scheduling & task amendments.
  13. Motivates, trains and enhances the guidance of employees from diverse backgrounds within the section.
  14. Evaluates and manages the performance and professional development of subordinates according to the performance appraisal policy and initiates corrective action plans as necessary.
  15. Represents the section on organizational platforms, taskforces and committees when needed.
  16. Writes an official delegation of all responsibilities and assignments prior to leave / vacation.
  17. Performs other job-related duties assigned as per the policy within the entity assigned.

Qualifications:

  • Essential: Bachelor Degree in Business Administration, Public Administration, Supply Chain Management, Materials Management, Hospitals Management, Heath Allied or equivalent related field.
  • Preferred: Master Degree in Business Administration, Public Administration, Supply Chain Management, Materials Management, Hospitals Management, Heath Allied or equivalent related field.

Experience :

  • Bachelor: Eight (8) years work experience in similar field including four (4) years in senior role.
  • Master: Six (6) years work experience in similar field including three (3) years in senior role.
