Job Summary

The Office & Facility Purchasing / Procurement Supervisor is responsible for managing the full purchasing cycle related to office supplies, facilities, maintenance, and support services. This role ensures timely procurement of goods and services through effective PR and PO management, supplier coordination, cost control, and compliance with company policies. The position supports smooth office and facility operations by ensuring quality, availability, and value for money.

Key Responsibilities

  • Manage the full purchasing cycle for office and facility-related items, from Purchase Requisition (PR) review to Purchase Order (PO) issuance, delivery, and invoice matching.
  • Review and validate PRs to ensure accuracy, necessity, and budget compliance.
  • Prepare, issue, and track POs in accordance with approved vendors and company procedures.
  • Source, evaluate, and negotiate with suppliers for office supplies, facility services, maintenance contracts, and equipment.
  • Coordinate with facility management, administration, finance, and end-user departments to meet operational requirements.
  • Monitor supplier performance, delivery timelines, service quality, and contract compliance.
  • Maintain and update supplier records, contracts, and price agreements.
  • Handle issues related to shortages, delays, damaged goods, or service failures and ensure timely resolution.
  • Ensure procurement activities comply with company policies, internal controls, and audit requirements.
  • Prepare procurement reports, including spend analysis, cost savings, and supplier performance.
  • Identify opportunities to improve procurement processes and reduce operational costs.
  • Supervise or support junior purchasing or administrative staff, if applicable

Requirements

Bachelor's degree in any field

Minimum 3 years of experience in purchasing or procurement, with hands-on experience in PR and PO processing.

Strong knowledge of procurement processes and the full purchasing cycle.

Experience working with ERP or procurement systems.

Good negotiation, communication, and vendor management skills.

Strong analytical and organizational skills with attention to detail.

Ability to manage multiple priorities and meet deadlines.

Proficiency in MS Excel and other Microsoft Office applications.
