Role purpose
The Organization Development Specialist supports the design, implementation, and continuous improvement of organizational structures, performance management systems, workforce planning processes, and HR governance frameworks.
The role focuses on executing OD initiatives, maintaining structure accuracy, supporting KPI architecture, and ensuring alignment between business strategy and operational HR systems
KEY ACCOUNTABILITIES & ACTIVITIES
- 1. Organizational Structure & Job Architecture
- Maintain and update organizational charts across all departments.
- Draft, review, and standardize job descriptions in line with approved structure.
- Conduct job analysis interviews and documentation.
- Ensure role clarity and reporting line accuracy.
- Track structural changes and maintain version control documentation.
- 2. Performance Management System Execution
- Support implementation of the annual performance cycle (goal setting, mid-year, final appraisal).
- Ensure KPI templates are properly structured and aligned with corporate guidelines.
- Monitor completion rates and follow up with departments.
- Support calibration meetings preparation (data analysis & reporting).
- Extract performance data and generate performance distribution reports.
- 3. KPI & BSC Support
- Translate departmental objectives into structured KPI templates.
- Validate SMART structure of KPIs.
- Track KPI progress reporting cycles.
- Consolidate departmental scorecards into corporate dashboards.
- Support variance analysis reporting.
- 4. Workforce Planning & Manpower Tracking
- Maintain headcount tracking files (approved vs actual vs budget).
- Support annual manpower planning consolidation.
- Prepare cost simulations for new roles or structure changes.
- Monitor recruitment requests against approved structure.
- Maintain workforce analytics dashboard.
- 5. Policy & Governance Documentation
- Draft HR policies and procedures.
- Maintain policy master list and review calendar.
- Ensure version control and document standardization.
- Support compliance checks against labor law and internal standards.
- 6. HR Analytics & Reporting
- Prepare monthly OD dashboards (turnover, performance, headcount, promotions).
- Track engagement action plans implementation progress.
- Conduct basic data analysis to identify trends.
- Ensure HRIS data integrity in collaboration with HR Operations.
- 7. Project Management Support
- Support OD-related transformation initiatives.
- Prepare presentations and board-ready materials as assigned.
- Coordinate workshops and cross-functional alignment meetings.
- Track project timelines and milestone completion.
REQUIREMENTS FOR ROLE
Experience & qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field.
- 35 years of experience in OD, HR analytics, or performance management roles.
- Experience working with KPIs, dashboards, and HR reporting.
- Exposure to manpower planning and structure management preferred
