Position Overview:
We are looking for a motivated Ops Associate to assist the Ops Manager in implementing
and overseeing internal and client operations in Dubai. The role involves structuring internal
processes, ensuring operational consistency, and guaranteeing a smooth and professional
client experience.
Required Skills:
Exceptional organization and attention to detail
Excellent written and verbal communication in French and English
Ability to structure and document complex processes
Autonomy and strong prioritization skills
Ability to set up basic client onboarding and management systems
Objective:
Ensure clarity, consistency, and reliability in client onboarding and management for the two
types of ChatDune services:
On-demand PA service (FrontApp)
Clients with custom workflows
The intern will support the Ops Manager in creating, monitoring, and optimizing all processes
related to onboarding and client management, ensuring every client receives a structured
and professional experience from day one.
1. On-demand PA Service (On-demand client service)
The intern will assist in implementing and monitoring a clean, consistent, and complete
onboarding process, from the free trial to subscription:
Structure and track the Welcome to ChatDune calls process
Schedule introduction calls for each new free trial
Ensure client expectations and needs are well understood
Answer clients request
Assist in planning and tracking the second call before subscription to confirm
readiness and answer questions
Create and maintain an onboarding checklist to centralize all essential client
information:
Contact details and main points of contact
Work preferences and habits
Recurring tasks
Special instructions or constraints
Develop a clear, standardized briefing template for the FR Ops team
Ensure all key client information is captured consistently
Provide full visibility for FR and UAE teams so everyone is aligned
2. Clients with Custom Workflows
For clients requiring a specific onboarding process, the intern will actively collect and
structure all operational information and ensure follow-up to guarantee smooth execution:
Schedule and participate in the first onboarding call
Prepare the agenda and assist with structured note-taking
Clarify client objectives, deadlines, and expectations
Create and use a standardized questionnaire to collect:
Complete workflow description (step by step)
Required tools, portals, and access
Recurring tasks and frequencies
Preferences, constraints, and sensitivities
SLA requirements (response times, execution deadlines)
Assist in estimating the workload per client
Identify task volumes and critical points
Detect risks or bottlenecks
Propose required staffing (internal or additional PA support)
Summary:
The intern will act as the Principal Coordinator for the Ops Manager, ensuring that every
client onboarding and management process is structured, documented, and rigorously
followed. They will also contribute to ensuring the team operates smoothly and efficiently,
with the main objective of optimizing client retention and satisfaction.
