Job SummaryThe Personal Assistant provides high-level administrative and organizational support to senior executives or business leaders. The role requires exceptional organizational skills, discretion, time management, and the ability to handle confidential information professionally.
Key Responsibilities- Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate internal and external meetings, including preparing agendas, minutes, and follow-up actions.
- Screen and prioritize incoming calls, emails, and correspondence.
- Act as the first point of contact between the executive and internal/external stakeholders.
- Prepare reports, presentations, and documents as required.
- Maintain organized filing systems (physical and electronic).
- Track deadlines and ensure timely completion of tasks and projects.
- Handle expense reports and basic budget tracking.
- Liaise with clients, partners, and team members on behalf of the executive.
- Draft professional correspondence and communications.
- Coordinate events, business functions, and special projects.
- Ensure effective communication flow across departments.
- Handle sensitive and confidential information with discretion.
- Maintain professionalism in all interactions.
- Anticipate needs and proactively solve problems.
Qualifications & Requirements- Bachelor's degree in Business Administration or related field preferred.
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- High level of discretion and confidentiality.
- Proficiency in MS Office.
- Ability to multitask and prioritize under pressure.
- Strong attention to detail and problem-solving skills.
