Role Description:
This role goes beyond traditional administrative support, serving as a strategic facilitator for the entire top management team. The Associate will act as a high-level coordinator who filters, synthesizes, and advances leadership initiatives, ensuring that the CEO, Founder, and department heads focus exclusively on high-value decision-making.
Key Responsibilities:
- Information Synthesis and Briefing: Review lengthy reports, industry news, and internal updates to provide daily executive summaries for the management team. Highlight critical action items and risks to save leadership reading time.
- Stakeholder Liaison: Serve as the primary point of contact for external partners, government entities, and key clients. Autonomously resolve mid-level inquiries and only escalate matters requiring final executive signatures or strategic pivots.
- Cross-Departmental Synchronization: Monitor progress on board-level initiatives across different departments (e.g., Business Development, Finance, and Operations). Identify bottlenecks between departments and proactively facilitate alignment meetings to resolve them.
- Quality Control and Brand Guardianship: Review all outgoing high-stakes documentation, proposals, and presentations from top management to ensure absolute consistency in tone, technical accuracy, and alignment with the firm's strategic vision.
- Strategic Calendar Auditing: Beyond mere scheduling, analyze the management team's time allocation. Proactively suggest adjustments to prioritize deep work or strategic planning over low-impact recurring meetings.
- Event and Training Command: Lead the end-to-end execution of high-level corporate events, international training sessions, and executive retreats. This includes managing vendor contracts, logistics, and onsite coordination without requiring management intervention.
- Confidential Project Lead: Handle sensitive special projects, such as preliminary research for new market entries or internal audits, ensuring findings are organized into actionable frameworks for the leadership team.
Qualifications
- Arabic Speaker
- Proven experience as a Personal Assistant / Executive Assistant (healthcare or dental industry is a plus).
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism and confidentiality.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work under pressure.
- Strong attention to detail and problem-solving skills.
