Job Description

Key Responsibilities

Executive Support

  • Manage the calendar, appointments, meetings, and travel arrangements.
  • Act as the primary point of contact between the Senior leader and internal/external stakeholders.
  • Prepare agendas, briefing notes, presentations, and meeting packs for board and executive meetings.
  • Record, transcribe, and circulate meeting minutes with follow-up action tracking.

Communication & Coordination

  • Screen, handle, and prioritize emails, calls, and correspondence on behalf of the Senior Leader.
  • Draft professional emails, letters, reports, and official communication.
  • Coordinate with board members, senior management, government entities, and business partners.
  • Liaise with HR, Finance, Legal, and Operations teams

Confidentiality & Governance

  • Handle sensitive and confidential information with utmost discretion.
  • Maintain organized records of contracts, legal documents, approvals, and board resolutions.
  • Support compliance with company policies, governance standards, and UAE business protocols.

Travel & Logistics

  • Arrange domestic and international travel, visas, hotels, and itineraries .
  • Manage expense claims and travel documentation in coordination with finance.

Office & Administrative Management

  • Ensure smooth day-to-day functioning
  • Maintain filing systems (digital and physical).
  • Coordinate special projects, events, and executive initiatives as assigned.
