Program Specialist - Diaspora Engagement
Purpose of the Job:
The Program Specialist (Diaspora Engagement) supports the implementation of diaspora initiatives by coordinating activities and events, managing data and documentation, supporting Monitoring & Evaluation (M&E), and facilitating communication between diaspora fellows, volunteers, external partners, field staff, and the Cairo office. The role ensures compliance with program quality standards, contributes to reporting and knowledge sharing, and helps strengthen diaspora engagement to maximize the program impact. As part of this mission, the role serves as a bridge, rooting the Coptic heritage in Egypt with those who wish to remain connected to it.
Essential Functions and Responsibilities:
Program Coordination and Support
- Support the Program Manager in the implementation of assigned projects, assisting in program design and data collection via forms and tools.
- Coordinate logistics for program activities, events, and initiatives with fellows, volunteers and local coordinators.
- Track program cycles and follow up on deliverables, providing regular progress reports to the Program Manager.
- Maintain centralized calendars, trackers, and implementation schedules.
- Handle correspondence with external partners and stakeholders as required.
- Assist in organizing orientation and training for fellows and volunteers.
- Contribute to knowledge-sharing initiatives across the Diaspora Engagement team
Monitoring and Evaluation
- Apply approved M&E tools to gather and track program outputs.
- Collect feedback from stakeholders and summarize findings to inform program improvements.
- Support the development of periodic reports and field learning reflections.
- Contribute to assessments, surveys, and data quality reviews.
Data Management and Documentation
- Compile and record program data from forms and reports; maintain both digital and physical records.
- Compile reports and event documentation for internal and external audiences.
- Review submissions for completeness and accuracy.
- Update and maintain program manuals, such as the fellows handbook and diaspora program manual.
Required Education, Experience, Knowledge and Skills
- Bachelor's degree in social sciences, development studies, or a related field.
- 13 years of experience in NGO program coordination, project support, or administration.
- Proficiency in Microsoft Office Suite (especially Excel and Word); experience using databases or tracking tools is preferred.
- Proficient in both written and spoken English.
- Basic Knowledge of M&E methods.
- Good organizational and time management skills, with attention to detail.
- Ability to coordinate across teams, prioritize tasks, and meet deadlines.
Travel and Working requirements
- Typical Office environment: walking, sitting, typing, using office equipment, and occasional lifting of boxes or luggage during travel.
- Travel throughout Egypt may reach as much as 30% of the time.
- Working outside official hours and on weekends may be required.
