As a
Project Coordinator / Administrative Assistant, you'll provide vital support to the BWG operations team managing administrative functions, documentation, and communications throughout the festival's lifecycle. You will coordinate between internal departments, vendors, and on-site staff to maintain efficient and organized operations during one of Riyadh's largest events.
Key Responsibilities
Pre-show / Post-show
- Assist in coordinating overall project operations and functions with the Project Manager, Coordinator and Admin.
- Working with and maintaining vendor relationships
- Liaise with Project Manager, Coordinator, Admin, and Managers on all levels of operation
- Manage day to day in office functions (including but not limited to):
- Staff schedules
- Manage Float & Float reconciliation
- Radios
- Any office needs
- Vehicle distribution and managing keys
- Liaise with BWG, Venue, Operations, and all dept. for effective showday operations
- Help organize, pack up, and inventory all departmental supplies during load out
- Act as a representative for both BWG and client when interacting with patrons, sponsors, vendors, guests and staff
- Assist BWG team as necessary.
On-site
- Coordinate administrative and operational activities alongside Project Managers and BWG staff.
- Maintain vendor relationships and coordinate with multiple departments (Venue, Operations, Security, etc.).
- Manage daily office needs such as staff schedules, float reconciliation, radios, vehicles, and keys.
- Serve as an operational contact for patrons, sponsors, vendors, and staff.
- Support packing, inventory, and office close-out post-event.
- Must be 21 years or older.
- Valid Saudi driver's license.
- Laptop and smartphone (WhatsApp enabled).
- Proficient in Google Workspace (G Suite).
- Fluent in Arabic and English.
- Excellent multitasking and communication skills with a strong sense of responsibility and discretion.
- Compensation: SAR 600 per day.
- On-site dates: December 8 14 2025.
- Location: Riyadh, KSA.
- High-performing candidates may be invited to join future large-scale event management projects.
