Position : Project Manager

Location : Abu Dhabi (Candidates based in UAE will be preferred)
The Project Manager will take ownership of the end-to-end delivery of a large-scale, international exhibition. This role is responsible for the overall planning, execution, and successful delivery of the exhibition, ensuring all elements are delivered on time, within budget, and to the highest quality standards.
The Project Manager will work closely with the Sales Manager, who leads commercial and exhibitor sales, and the Project Coordinator, who supports operational delivery. Reporting into the Head of Events, this role requires a strong leader with deep experience in international exhibitions, exceptional organisational skills, and the ability to manage multiple stakeholders across a complex, large-scale event.
Own and manage the full lifecycle delivery of the exhibition from concept development through onsite execution and post-event wrap-up.
Lead and manage the event agency appointment process, including RFP development and evaluation.
Develop and maintain the master project plan, timelines, and critical milestones, ensuring all workstreams remain aligned and on track.
Ensure seamless integration between sales, operations, marketing, and production to deliver a cohesive, world-class exhibition experience.
Work closely with the Sales Manager to align floor plans, exhibitor requirements, sponsorship deliverables, and commercial timelines with operational planning.
Manage and guide the Project Coordinator, delegating tasks and ensuring efficient day-to-day execution of project activities.
Collaborate with internal teams including Marketing & Communications, business units, and senior stakeholders to ensure objectives are met.
Act as the primary point of contact for internal and external stakeholders, managing expectations and ensuring high levels of satisfaction.
Oversee all exhibition logistics including venue coordination, floorplan delivery, build and breakdown, supplier management, and onsite operations.
Manage vendor and supplier relationships, including contract negotiation, service delivery, and performance management.
Ensure all event elements are meticulously planned and delivered with a strong focus on quality, safety, compliance, and attendee experience.
Develop, manage, and control the exhibition budget, tracking costs and ensuring efficient use of resources.
Work closely with the Head of Events on financial reporting, forecasting, and post-event reconciliation.
Identify risks and implement mitigation strategies to protect timelines, budgets, and delivery standards.
Lead by example with a proactive, solution-oriented approach in a fast-paced, deadline-driven environment.
Continuously review event processes and delivery methodologies, recommending improvements and innovative ideas for future editions.
Support the Head of Events with departmental planning, resourcing, reporting, and strategic initiatives as required.
Minimum 8 years experience in international conference and exhibition management, with proven responsibility for large-scale events.
Demonstrated experience managing complex projects with multiple stakeholders and tight deadlines.
Strong leadership skills with experience working alongside sales, marketing, and operational teams.
Exceptional organisational and project management capabilities, with the ability to manage multiple workstreams simultaneously.
High attention to detail and a commitment to delivering high-quality, world-class events.
Proven ability to manage budgets, suppliers, contracts, and logistics effectively.
Excellent communication skills in English, both written and verbal (additional languages are an advantage).
Strong problem-solving skills with the ability to adapt quickly to changing circumstances.
Proficiency in Microsoft Office, project management tools, and event/exhibition management software.
Willingness and ability to travel as required for event delivery.
