We are seeking an experienced Property Management Coordinator to manage leasing and day-to-day property operations across a designated portfolio in Abu Dhabi. This role is responsible for tenant relations, lease administration, operational oversight, stakeholder coordination, and performance reporting, ensuring properties are managed efficiently and deliver high levels of tenant satisfaction and occupancy.
The ideal candidate will be hands-on, detail-oriented, and capable of managing multiple stakeholders including tenants, facilities teams, brokers, and internal departments.
Key Responsibilities
Property Operations & Tenant Management
- Act as the primary point of contact for tenants, ensuring professional and timely resolution of issues
- Coordinate with Facilities Management teams to address maintenance, operational and service requests
- Supervise on-site teams and support smooth day-to-day property operations
- Conduct regular and ad-hoc property inspections and prepare inspection reports
- Monitor FM budgets, accruals, and expenditures
- Identify operational risks and implement mitigation actions
- Recommend enhancement works and cost-reduction initiatives (e.g. energy efficiency)
- Prepare and execute annual tenant engagement plans and participate in community events
- Conduct tenant satisfaction surveys and implement improvement initiatives
Leasing, Contracts & Administration
- Coordinate unit viewings directly or through appointed real estate brokers
- Maintain broker relationships and circulate unit availability listings
- Manage property listings on portals and prepare leasing campaigns
- Track broker performance and report insights to management
- Manage lease documentation including new leases, renewals, negotiations and compliance
- Ensure Ejari / Tawtheeq registration and contract documentation is completed accurately
- Coordinate move-in and move-out processes including inspections, NOCs, and documentation
- Update unit availability, descriptions, photos and records upon vacancy
- Coordinate with Finance on security deposit refunds and follow-ups
- Support landlord representation in tenancy-related legal matters in coordination with Legal
- Maintain fit-out approvals, drawings, tenant files, and property documentation
Financial Management & Reporting
- Submit payment and collection details to Finance, including follow-up on dishonoured cheques
- Provide input for budgeting and financial planning
- Monitor property financial performance and recommend occupancy-driving initiatives
- Prepare and submit monthly, quarterly and annual portfolio reports to management
Key Requirements
Education & Experience
- Bachelor's degree in Real Estate, Business Administration or related discipline
- 57 years of experience in property management, leasing or property administration
- Experience managing residential and/or commercial portfolios in the UAE
Skills & Competencies
- Strong working knowledge of lease administration, tenant relations and FM coordination
- Excellent Excel and IT skills
- Strong organisational and reporting capabilities
- Ability to work under pressure and manage multiple priorities
- Detail-oriented, proactive and self-motivated
- Strong communication and stakeholder management skills
- Valid UAE driving licence is an advantage
