Job Summary:
We are seeking a motivated and detail-oriented Property Manager to join our dynamic team. The ideal candidate will assist in the management of a diverse portfolio of properties, ensuring operational efficiency, tenant satisfaction, and adherence to company policies. Responsibilities:
- Reporting
- Compile detailed incident reports (security, maintenance, tenant issues) with updates on resolutions and preventive measures.
- Track and report leasing activity, including tenant mix, lease renewals, and progress toward occupancy targets, providing weekly and monthly updates.
- Prepare and present monthly, quarterly, and annual reports on property operations, financial performance, leasing activity and tenant relations for clients and senior management.
- Deliver internal reports on property operations, tenant management, and facilities to offer management insights into daily performance.
- Provide in-depth market analysis and strategic recommendations to maximise asset value and occupancy.
- Property Management
- Assist in leasing management by coordinating with external brokers, managing relationships to attract high-quality tenants, and facilitating property viewings.
- Oversee the marketing of available vacant spaces, managing listings on appropriate platforms to maximize visibility.
- Evaluate tenants based on financial stability and brand alignment and manage tenant relations as the primary point of contact.
- Ensure all tenant interactions adhere to standard operating procedures (SOPs) and contractual obligations.
- Conduct move-in/move-out inspections, manage the handover process for tenants, and assess end-of-lease obligations, including final settlements and repairs.
- Monitor and manage tenant arrears to ensure timely rent payments and resolve disputes.
- Lease Management
- Lead lease negotiations with prospective and existing tenants to optimise rental income and tenant mix.
- Draft and review lease agreements based on Heads of Terms and negotiation outcomes ensuring alignment with landlord/client requirements.
- Manage lease renewals and oversee the execution of agreements.
- Ensure compliance with lease obligations, tracking key milestones such as renewals, rent escalations and termination clauses.
- Verify tenant utility connections and manage the drafting of lease termination agreements.
- Oversee and enforce rent collection policies, managing arrears and mitigating financial risk.
- Marketing
- Develop and implement marketing strategies to attract high-quality tenants and maximise occupancy.
- Collaborate with brokers to attract top clients, managing marketing campaigns.
- Oversee marketing campaigns, broker relations and property branding to enhance market positioning.
- Spearhead community engagement activities promotional events and partnerships to increase tenant retention and footfall.
- Facilities Management
- Develop and oversee annual maintenance budgets and supply agreements, ensuring optimal vendor performance and cost efficiency.
- Supervise service providers (cleaning, security, maintenance) to ensure optimal service levels, including evaluating proposals and coordinating annual maintenance contracts (AMCs).
- Conduct regular inspections of common areas and tenant spaces to ensure safety, cleanliness and functionality, and review maintenance invoices for approval.
- Ensure compliance with local regulations, health & safety requirements and property management best practices.
- Fit-Out & Renovation Management
- Identify opportunities for property improvements and repositioning projects that require capital expenditure.
- Oversee the budgeting, planning, and execution of major renovation and upgrade projects to enhance asset value.
- Collaborate with landlords, developers, and consultants to assess feasibility, secure approvals, and manage project timelines.
- Manage the submission and review of tenant fit-out plans, ensuring compliance with the property regulations.
- Coordinate with landlord/developer and local authorities to secure approvals for tenant fit outs, drafting No Objection Certificates (NOCs) and approval letters.
- Conduct inspections of completed tenant fit outs to ensure compliance with design and safety standards before handover.
- Team & Stakeholder Management
- Manage and mentor direct reports, including leasing coordinators, facilities managers and administrative staff.
- Act as the primary liaison between landlords, tenants and service providers, ensuring seamless communication and issue resolution.
- Establish and maintain relationships with key stakeholders, including government authorities, developers and investors.
- Other Responsibilities
- Maintain and regularly audit tenant records for compliance and accuracy, acting as the liaison between landlords and tenants to ensure timely responses and decisions.
- Handle tenant financial transactions, including cheque deposits and reconciliations as needed.
- Qualifications:
- Bachelor's degree in Real Estate, Business Administration, or a related field is preferred.
- 4-8 years of experience in property management or a related field.
- Strong organizational and multitasking skills with attention to detail.
- Proficiency in property management software and Microsoft Office Suite.
- Knowledge of local property laws and regulations is a plus.
- A Real Estate license or certification is desirable but not mandatory.
- Excellent communication skills, both written and verbal, with the ability to present findings clearly to various audiences.
- Strong project management skills with the ability to manage multiple projects and deadlines effectively.
- Knowledge of commercial real estate market dynamics and trends is a plus.
