Job Purpose
Responsible for managing the procurement of indirect goods and services required to support business operations (e.g., office supplies, services, maintenance, marketing services, logistics, etc.), ensuring cost efficiency, timely delivery, and compliance with company policies, using ERP systems (preferably Odoo).
Key Responsibilities
- Handle procurement of indirect goods and services across different departments.
- Receive and evaluate purchase requests from internal stakeholders through the ERP system.
- Create and manage RFQs (Requests for Quotation) within ERP system.
- Identify, source, and onboard new suppliers/service providers.
- Compare quotations and prepare cost analysis to select the best offer.
- Negotiate pricing, payment terms, and delivery conditions with suppliers.
- Create and process Purchase Orders (POs) using ERP system and follow up on approvals.
- Monitor and track orders in ERP system to ensure timely delivery and compliance with specifications.
- Coordinate with internal departments (HR, Marketing, Admin, Finance, IT, etc.) to fulfill their requirements.
- Resolve any issues related to suppliers, deliveries, or service quality.
- Manage contracts and recurring services, ensuring adherence to agreed terms.
- Maintain accurate and up-to-date records of suppliers, quotations, and transactions in ERP system.
- Evaluate supplier performance regularly (quality, cost, delivery, service).
- Prepare periodic reports on procurement activities using ERP data and reports.
Requirements
- 3–4 years of experience in procurement, preferably in indirect procurement
- Hands-on experience working with ERP systems, preferably Odoo
- Strong understanding of procurement workflows within ERP systems
- Good knowledge of supplier management and sourcing processes
- Very strong negotiation and communication skills
- Ability to manage multiple tasks and work under pressure
- Proficiency in Excel and ERP reporting tools
- Good command of English (written and spoken)
