Job Description

1. JOB PURPOSE:

The Clinical Consumables/ Reagents Management Specialist is responsible for ensuring uninterrupted availability of clinical consumables/Reagents at client sites by monitoring stock levels, collecting item requests, and preventing shortages. The role includes close coordination with clients and the warehouse to manage timely deliveries, overseeing GPPRR Leasing documentation, and ensuring accurate invoicing follow‑up after report submission. A background in laboratory sciences is preferred to support better understanding of clinical consumables and usage patterns.

2. ROLE AND RESPONSIBILITIES:

Client Communication & Request Follow Up

• Maintain continuous communication with clients to confirm requested consumables and anticipated usage.

• Collect accurate and timely item requests to prevent zero level stock situations.

• Provide responsive support regarding availability, delivery expectations, and documentation needs.

Clinical Consumables/ Reagents Inventory Monitoring

• Track stock levels for assigned clients and identify potential shortages early.

• Update internal records with accurate data on consumable usage and anticipated demand.

• Proactively escalate risks and recommend preventive measures to ensure supply continuity.

Coordination With Warehouse (WH)

• Align with the warehouse team to prepare and dispatch consumables in line with client requests.

• Share accurate delivery schedules and item requirements with WH.

• Follow up to confirm successful delivery and address any discrepancies with urgency.

Documentation & GPPRR /Leasing Reporting

• Follow up with clients to obtain the GPPRR/ Leasing report for all used or consumed clinical items.

• Review and validate GPPRR documents to ensure accuracy before internal submission.

• Maintain systematic records of all consumable requests, deliveries, and GPPRR reports.

Invoicing Follow Up

• Coordinate with finance and sales teams to ensure timely issuance of invoices once GPPRR/Leasing reports are received.

• Track invoice progress and resolve any pending documentation or alignment issues.

• Ensure accurate reconciliation between delivered items, GPPRRs/Leasing , and invoiced quantities.

Internal Coordination & Compliance

• Collaborate with sales, operations, warehouse, and finance teams to ensure alignment on all activities.

• Follow company procedures, client agreements, and documentation standards.

• Support process improvements for consumables management, reporting accuracy, and customer service.

3. QUALIFICATIONS AND EDUCATION REQUIREMENTS:

• Bachelor's degree in laboratory sciences (preferred), or Supply Chain, Business Administration, Operations, or related fields.

• Previous experience in inventory coordination, healthcare supply, customer service, or logistics is an advantage.

• Strong communication and follow up capabilities.

• Ability to manage multiple sites and tasks efficiently.

• Proficiency with MS Office; knowledge of ERP/CRM systems preferred.

• High attention to detail and strong documentation skills.
