- Job Title – Receptionist cum Executive Assistant (Arabic Speakers)
- Duration – 12 months long term role
- Work Location – Dubai Healthcare City
Mandatory – Arabic speakers preferred, Calendar planning, schedule meetings, and travel coordination along with front desk handling
Job Responsibilities:
- Front Desk Management: Greet and assist visitors, clients, VIP/VVIP guests professionally, ensuring a positive first impression of the organization.
- Call Handling & Correspondence: Manage incoming calls, emails, and inquiries; redirect calls to relevant departments and take accurate messages.
- Calendar & Meeting Coordination: Schedule appointments, manage meeting rooms, coordinate executive calendars, and arrange meetings, including refreshments when required.
- Office Administration: Maintain office supplies inventory, coordinate with vendors, and ensure smooth day-to-day administrative operations.
- Document Control: Handle filing, scanning, documentation, and maintain organized records (physical and digital).
- Travel & Logistics Support: Assist with travel bookings, hotel reservations, visa coordination, and transportation arrangements.
- Vendor & Facility Coordination: Liaise with maintenance, IT, catering, and other service providers to ensure uninterrupted office operations.
- General Administrative Support: Support HR and management with onboarding documentation, employee records, and other ad-hoc administrative tasks as assigned.
- Assistant to the General Manager (UAE) expense reporting, documentation, and other administrative support
