Overview
Based in Abu Dhabi, the Rental Analyst is expected to be an enthusiastic and hardworking individual to manage the day-to-day activities for property management services. This exciting and challenging position requires the incumbent to operate at the highest standards of property management, ensuring the business is in line with operations excellence, sales forecasts and tenant support as guided by the Rental Sales Manager to deliver on stakeholder expectations. The role is suited to a customer-service-oriented and leader spirited individual with the ability to interact with all community stakeholders.
Responsibilities
- Coordinate onboarding new customers and record all details in Salesforce.
- Register new stations and units in the TAMM System
- Prepare new and renew expired Tawtheeq contracts for each unit after receiving tenant documents.
- Prepare new and renew expired Ejari contracts for each unit after receiving tenant documents.
- Track weekly renewals and provide updates by maintaining a renewal tracker and communicate renewals dates to concerned.
- Update registration details related to old stations, including unit areas and electricity meter details.
- Coordinate with HQ to obtain electricity bills to facilitate meter transfers under tenant names.
- Support in creating reports and presentations to contractors as and when required.
- Manage schedules, meetings, and communications between departments and external clients.
- Provide general administrative support to the Knight Frank and Client teams.
- Collect the list of special monthly tasks from the KF team and consolidate it into a KPI Monthly Report for submission to the ADD VP for approval
- Handle contract modifications including unit updates, area corrections, and term changes.
- Collaborate with various internal departments to ensure a smooth and seamless operation from contract signing to opening.
- Translate and format Musataha contracts into Arabic as required.
- Prepare the Tender Proposal form for approval by the ADD Rental Committee.
- Support with data and figures to prepare monthly reports ensuring alignment with defined KPIs and performance benchmarks.
- Assist with various ad-hoc works be it master contract, non-renewals, terminations etc.
- Archive all NOC requests and tenancy contracts in the shared drive and filing room
- Analise sales data as and when required by the Rental Sales Manager.
- Ensure contract renewals, occupancy reports, and other databases are accurate.
- Scan and archive all Tawtheeq, Ejari, and other municipality contracts along with related bills.
- Coordinate requirements of tenants with other departments as directed by the Sales Manager
- Analise tenant performance and follow up on payments and other dues to the company.
Skills and Qualifications
- Bachelor's degree in business administration, information management, or a related field.
- At least 3 5 years of experience in leasing support & document control within the construction, engineering, or real estate sectors, with a focus on large-scale projects.
- Previous experience in leasing support roles is highly desirable.
- Certification in document control management (e.g., EDMS certification) is an advantage.
- Familiarity with local and international legal and contractual documentation requirements.
- Fluent in English & Arabic is essential with proficiency in reading and writing skills.
- Excellent communication and interpersonal skills.
- Knowledge of local relevant property laws and regulations related to government systems and process
