Job Description

Job Overview

The Returns Associate is responsible for managing the end-to-end returns process, including reviewing returned items, processing refunds in the system, and ensuring compliance with company return policies. The role ensures accurate refund processing, proper documentation, and coordination with warehouse, customer service, and finance teams to maintain operational efficiency and customer satisfaction.

Key Responsibilities

Returns Processing

  • Review Customer Return Authorizations (CRAs) and verify return eligibility according to company policies.
  • Process customer refunds in the system (NetSuite / internal systems) accurately and within the defined SLA.
  • Ensure correct refund method based on the original payment method.

Quality Control Coordination

  • Verify QC results before processing refunds for high-value items.
  • Ensure items above the defined refund threshold are validated through warehouse QC before refund approval.

System Updates & Documentation

  • Update return case status and maintain accurate records in the system.
  • Document refund reasons, QC outcomes, and any exceptions or approvals.

Exception Handling

  • Escalate complex cases such as damaged items, vendor returns, or policy exceptions to supervisors.
  • Process refund exceptions when approved by authorized stakeholders.

Cross-Team Coordination

  • Coordinate with the warehouse team for item verification and QC results.
  • Work closely with the Customer Experience (CX) team regarding return-related customer inquiries.
  • Liaise with finance teams when required for refund verification.

Key Performance Indicators (KPIs)

  • Refund processing accuracy
  • Refund Turnaround Time (TAT)
  • Compliance with return policy
  • Case resolution time
  • System data accuracy

Experience

  • 13 years experience in warehouse operations, e-commerce operations, or returns management.

Qualification

Skills

Bachelor's degree or equivalent experience preferred.

  • Experience with ERP/WMS systems (NetSuite, Magento, etc.) is a plus.
  • Strong attention to detail.
  • Ability to handle high transaction volumes.
  • Basic analytical and reporting skills.
  • Good communication and coordination skills.
