Length of Contract: 4 Months

Salary: AED 7,000

Role Overview

The Delegate Sales Administrator supports the Sales Team by managing CRM operations, processing delegate registrations, coordinating internal approvals, preparing agreements, and ensuring smooth administrative operations across all four shows.

Key Responsibilities

1. Lead Management & CRM Coordination

  • Manage approximately 2,000+ leads per show in CRM Dynamics.
  • Coordinate with the CRM and IT teams to ensure accurate data management.
  • Distribute lead ownership among sales team members across all four shows.

2. Delegate Data Management

  • Handle bulk uploads in CRM Dynamics for approximately 2,000+ manual transactions across all four shows.
  • Ensure accuracy and completeness of delegate records.

3. Memo Preparation & Processing

Prepare and process various memos, including:

  • General memos
  • Cancellations
  • Order amendments
  • Delegate pricing adjustments
  • Agent appointments
  • Agent commissions
  • Refunds
  • Waivers
  • Credit notes
  • Payment extensions
  • Cash advances
  • Petty cash requests

4. Memo Tracking & Reporting

  • Maintain and update an Excel tracker for all submitted memos across four shows.
  • Monitor memo approval status and follow up where required.

5. Registration Processing

  • Process delegate registrations and amendments using the CRM DS module.
  • Apply order adjustments as per approved memos.
  • Coordinate with the Finance team for payment and adjustment confirmations.

6. Agreement Preparation

  • Draft and process agreements for:
  • Delegate Sales Agents
  • Certified Training Partners
  • Obtain necessary internal approvals prior to issuance.

7. Certificate & Visa Documentation

  • Issue approximately 5,000+ delegate certificates across all four shows.
  • Prepare and send visa invitation letters to clients as required.

8. Document Dispatch

  • Arrange courier dispatch of invoices, purchase orders, and other relevant documents.

9. Event Staffing & Onboarding Coordination

  • Raise Purchase Requisitions (PR) for approximately 30 Meeting Concierge staff.
  • Coordinate with HR, IT, and TS to:
  • Arrange workstations
  • Organize laptop and IP phone collection
  • Apply for required system access for temporary staff

10. Purchase Requisition Management

  • Raise PRs for Delegate Sales as per Business Unit requirements.
