Job Description

ABOUT THE ROLE

We are looking for a highly motivated, professional, and knowledgeable Sales Administratorto join our team in Unique Properties. Our preferred candidate will be someone who is self-sufficient, energetic motivated and able to provide overall support to our property consultants by drafting contracts and handling all the necessary documentation related to sales and leasing.

DUTIES & RESPONSIBILITIES

  • Coordinate with the Sales Team with regards to the preparation of different types of standard Contracts and Agreements such as Form A, B F and I, Tenancy Contracts, Rental Lease Agreement between Landlord and Agency, Channel Partner Agreement (in PDF format and online)
  • Create Custom Agreements / Contracts and writing business letters
  • Prepare Real Estate legal documents such as MOU, Tenancy Contracts, Agreement Letters, etc.
  • Perform full calculations when preparing the MOU.
  • Check the accuracy of orders and issuing invoices, maintaining sales records, and compiling monthly sales reports
  • Review Custom Agreements / Contracts and give feedback to management
  • Prepare Tenancy Contracts and their necessary addendums
  • Send rent renewal reminders to agents and prepare Tenancy Contract for confirmed Rent Renewals
  • Manage reminders for Tenancy Contract renewals, to both agents and tenants.
  • Monitor deadlines and provide notices to appropriate parties when necessary
  • Liaise with Developers to ensure Agency Agreement are up to date and valid
  • Prepare Commission- and Channel Partner Agreements
  • Create necessary NOCs for online listings, coordinating with the Listings Coordinator
  • Draft other necessary documentation for agents as needed: Undertakings Letters, Acknowledgements, etc., and ensuring their execution in a timely manner
  • Oversee the accuracy of orders and issuing invoices, maintaining sales records, and compiling monthly sales reports
  • Ensure each transaction complies with legalities and any tax withholdings are complete

REQUIREMENTS AND QUALIFICATIONS

  • At least 2 - 3 years of previous experience in real estate in a similar position is a must
  • Excellent written and verbal communication in English is mandatory
  • Clear understanding of RERA rules and regulations. Have experience with drafting contracts and other industry-related documentation in PDF and online (i.e., MOU, Form A, Form B, Form F, Form I, etc.)
  • Excellent working knowledge of MS Office Suite (Excel, Word), PDF software, Internet
  • Experience in off plan sales
  • Strong analytical skills
  • Ability to multitask and meet strict deadlines
  • Well-organized and disciplined
  • Self-sufficient and able to take initiative
  • Eager to learn
  • Experience in CRM (highly desirable)
  • Team player
