Job Description

Role Summary

The Sales Coordinator functions as the critical link between the Sales Team and Operations Department, ensuring seamless coordination of orders, delivery schedules, and customer commitments. This role drives execution excellence, safeguards service timelines, and enhances customer satisfaction through proactive internal communication and process control.

Key ResponsibilitiesSales Support & Coordination
  • Act as the primary coordination point between Sales and Operations for all confirmed orders.
  • Review sales orders and verify accuracy of products, quantities, delivery dates, and site details.
  • Ensure all required documents (LPO, contracts, event details, client requirements) are complete before execution.
  • Support the sales team with order tracking, status updates, and internal follow-ups.
Delivery & Operations Liaison
  • Coordinate daily with the Operations Team regarding delivery schedules, logistics planning, and manpower allocation.
  • Monitor order execution from confirmation to delivery completion.
  • Escalate risks related to delays, stock shortages, or logistical challenges to management proactively.
  • Confirm delivery completion and update sales team and records accordingly.
Customer & Service Follow-up
  • Communicate delivery confirmations and updates to sales representatives or directly to clients when required.
  • Address last-minute changes in delivery timing, quantity adjustments, or site requirements.
  • Ensure post-delivery feedback is captured and shared with relevant departments.
System & Documentation Control
  • Update all sales and delivery information in the ERP/CRM system (e.g., Odoo).
  • Maintain accurate order logs, delivery reports, and coordination records.
  • Track pending orders, partial deliveries, and returns.
Interdepartmental Communication
  • Facilitate smooth information flow between Sales, Warehouse, Logistics, and Accounts.
  • Participate in daily coordination meetings to review upcoming deliveries and priorities.
  • Ensure alignment between what is sold and what is operationally feasible.

Qualifications
  • Bachelor's degree or diploma in Business Administration or related field
  • 13 years of experience in Sales Coordination, Logistics Coordination, or Operations Support
  • Experience in event, rental, logistics, or service-based industry is an advantage
