Job Summary
The Real Estate Sales Operation Manager will lead and optimize the sales operations function, aligning sales strategies with operational execution across the real estate portfolio. This role partners with sales leadership, marketing, finance, and property teams to drive revenue growth, improve process efficiency, and ensure a superior client experience.
Key Responsibilities
Sales Process & Pipeline Optimization
- Design, implement, and continuously improve end-to-end sales processes, pipelines, and performance reporting.
- Manage and optimize lead management workflows, ensuring efficient lead capture, qualification, distribution, and conversion tracking across all channels.
- Optimize the deal lifecycle, pricing approvals, commission models, and workflow automation.
Strategic Planning & Performance
- Collaborate with sales leadership to forecast revenue, set targets, and monitor progress against goals.
- Experience with budgeting, forecasting, and performance metrics.
Systems & Data Integrity
- Manage CRM configuration, data quality, and advanced analytics to enable informed decision-making.
- Lead system integrations with MLS, listing platforms, property management systems, and financial systems.
- Oversee digital inventory management, ensuring accurate tracking of available properties, unit turnover, and listing statuses across all platforms.
Cross-Functional Alignment
- Align cross-functional initiatives with marketing, finance, property operations, and legal to ensure seamless deal execution.
- Manage external broker relationships and co-broker agreements, ensuring seamless communication, accurate commission splits, and compliance with brokerage policies.
Compliance & Documentation
- Develop and enforce archiving and contracting management protocols, ensuring all sales contracts, disclosures, and closing documents are securely stored, easily retrievable, and fully compliant with regulatory requirements.
- Develop standardized operating procedures and training programs for the sales team and field operations.
Team Leadership
- Mentor and coach sales operations staff; drive a culture of accountability and continuous improvement.
Required Qualifications
- 10-12 years of experience in real estate sales operations
- Bachelor's degree in Business Administration, Real Estate, or a related field (Master's degree preferred)
- Proven experience in sales operations, CRM optimization (e.g., Salesforce), and data analytics
- Strong understanding of real estate market dynamics, brokerage processes, and regulatory considerations
- Excellent leadership, communication, and stakeholder management skills
- Ability to manage multiple priorities and deliver results in a fast-paced environment
