Job Purpose

The Sales Operations Specialist provide essential support to the Sales Operations Manager by streamlining sales processes, managing data and Salesforce system, as an overall support in facilitating the efficiency of the sales process and optimizing the sales operations within the organization.

Job Description

Sales Operations & Order Management

  • Conduct product and quotation sanity checks and approvals in line with the defined deal authorization matrix.
  • Validate commercial proposals for RFPs and standard sales opportunities.
  • Initiate billing by coordinating with the invoicing team via email, service provisioning, and sales order activation after validation, in line with product requirements, agreed SLAs, quality standards, and any newly introduced processes.
  • Manage cloud and services onboarding tickets through the Jira workflow, coordinating with all relevant stakeholders in line with product requirements, agreed SLAs, and quality standards.
  • Handle the offboarding process end to end until service deactivation is confirmed, ensuring no missing billing periods.
  • Manage third-party resale license activations.
  • Initiate project work orders in line with approved payment terms, signed technical proposals, and costing sheets.
  • Close opportunities in accordance with product requirements, agreed SLAs, and quality standards.
  • Generate customer order forms in line with product requirements, agreed SLAs, and quality standards.

Compliance, Governance & Process Control

  • Ensure documentation compliance through daily audit checks and verification of legality as required.
  • Raise flags for potential process violations.
  • Raise observations related to abnormal system behavior and/ or errors.
  • Actively participate in UAE for new processes and/or task automation initiatives
  • Follow and adhere to approved sales processes, sales operations policies, and avoid deviations from agreed policies, procedures, and business rules.
  • Ensure compliance with sales policies and procedures.

Reporting, Systems & Stakeholder Support

  • Validate Jira tickets raised by salesforce users before assigning them to the digital team.
  • Generate and share periodic and/or ad hoc reports with identified stakeholders within agreed formats and timelines.
  • Ensure data accuracy and quality for reports, raising flags for any data inconsistencies.
  • Share knowledge, provide system guidance, and explain processes and policies to new joiners and relevant teams, including sales, licensing, pre-sales, partner operations, and strategic alliances, as applicable to sales operations interactions.
  • Perform ad hoc tasks as assigned by the management team.

Additional Responsibilities

Compliance

  • Comply with any filing requirements imposed by local governing authorities.
  • Comply with all tax reporting and payment requirements.
  • Comply with the group guidelines.
  • Identify and mitigate financial risks by implementing effective internal controls and risk management strategies.
  • Comply with the company's Information Security Management System (ISMS) and ISO 27001 requirements, and actively participate in regular training and audits to ensure continuous alignment with the standard.

Job Specification

Education

  • Bachelor's Degree of Business Administration or any relevant degree

Professional Certifications

  • Public Cloud Certifications
  • Salesforce Certified Associate and/or salesforce certified platform foundation
  • Certified Sales Operations Professional (CSOP) (Preferred)

Knowledge

  • Expert in Microsoft office suite (Mainly Excel and PowerPoint)
  • Proficient in CRM and sales analytics software
  • Expertise in CRM and Sales Technology:
  • Problem-Solving and Decision-Making Abilities
  • Process Improvement and Efficiency Optimization
  • 3 years sales operations experience in telecom and/or cloud-based technology industry.
