Job Description
This job holder is responsible for managing schedules, coordinating meetings, handling communications, and performing various administrative tasks to ensure the efficient operation of the executive office.
Responsibilities
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Manage and prioritize executive calendars to ensure optimal time management.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Screen and direct phone calls, emails, and correspondence.
- Prepare agendas, materials, and presentations for meetings.
- Take detailed minutes and follow up on action items.
- Arrange with the related stakeholders in plan and book travel, accommodations, and itineraries.
- Prepare and process expense reports and reimbursements.
- Handle confidential information with discretion.
- Maintain organized filing systems for documents and records.
- Perform general office duties such as ordering supplies, managing mail, and coordinating office activities for the executive.
- Assist in special projects and initiatives as required.
- Coordinate with other departments and teams to ensure project timelines and deliverables are met.
- Organize and coordinate executive-level events, meetings, and conferences.
- Manage logistics and ensure seamless execution of events.
- Prepare and edit reports, presentations, and correspondence.
- Maintain accurate records and documentation for reference and audit purposes.
Qualifications
- Diploma in Business, or relevant field.
