This job holder is responsible for managing schedules, coordinating meetings, handling communications, and performing various administrative tasks to ensure the efficient operation of the executive office.

Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Manage and prioritize executive calendars to ensure optimal time management.
  • Act as the primary point of contact between executives and internal/external stakeholders.
  • Screen and direct phone calls, emails, and correspondence.
  • Prepare agendas, materials, and presentations for meetings.
  • Take detailed minutes and follow up on action items.
  • Arrange with the related stakeholders in plan and book travel, accommodations, and itineraries.
  • Prepare and process expense reports and reimbursements.
  • Handle confidential information with discretion.
  • Maintain organized filing systems for documents and records.
  • Perform general office duties such as ordering supplies, managing mail, and coordinating office activities for the executive.
  • Assist in special projects and initiatives as required.
  • Coordinate with other departments and teams to ensure project timelines and deliverables are met.
  • Organize and coordinate executive-level events, meetings, and conferences.
  • Manage logistics and ensure seamless execution of events.
  • Prepare and edit reports, presentations, and correspondence.
  • Maintain accurate records and documentation for reference and audit purposes.

Qualifications


  • Diploma in Business, or relevant field.
