Responsibilities
- Document Management: Manage the creation, review, distribution, and archiving of documents such as reports, specifications, contracts, and correspondence.
- Strategic Planning: Develop and implement document management strategies to optimize document workflows, improve efficiency, and ensure compliance with regulatory standards.
- Leadership: Provide leadership and guidance to document control staff, including training, mentoring, and performance management.
- Process Improvement: Identify opportunities for process improvement and implement solutions to enhance document control processes and systems.
- Quality Assurance: Oversee quality control measures to ensure the accuracy, completeness, and integrity of documents.
- Compliance: Ensure that document management processes comply with relevant regulatory standards, industry best practices, and organizational policies.
- Technology Integration: Evaluate and implement document management software and technologies to streamline document workflows and improve accessibility.
- Collaboration: Collaborate with cross-functional teams, including project managers, engineers, and compliance officers, to facilitate document-related processes and ensure alignment with project timelines and objectives.
- Risk Management: Identify and mitigate risks associated with document management processes, such as data security breaches or compliance violations.
- Auditing and Reporting: Conduct regular audits of document management processes to assess compliance and identify areas for improvement. Prepare reports and presentations to communicate findings to stakeholders.
- Training and Development: Provide training and support to staff on document management processes, software systems, and best practices.
Qualifications
- Bachelor's degree in Engineering, Business Administration, or a related field.
- Minimum of 12 years of experience in document control roles within the consultancy sector, with a focus on site supervision for infrastructure projects such as roads, tunnels, bridges, and highways.
- Proficiency in document management software (e.g., Documentum, SharePoint) and Microsoft Office Suite.
- Strong leadership and management skills, with the ability to effectively coach, mentor, and motivate staff.
- In-depth knowledge of regulatory requirements related to document management (e.g., ISO standards, FDA regulations).
- Excellent organizational, analytical, and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels of the organization.
- Certification in document management (e.g., Certified Document Controller) is desirable.
