About the Role

The Senior Facilities Specialist is responsible for managing all site-related administrative, logistical, and accommodation operations. The role ensures smooth site mobilization, efficient asset management, proper accommodation arrangements, and full coordination of daily services and transportation activities.

Responsibilities

  • Site Mobilization:
  • Review site mobilization plans and layouts to identify requirements.
  • Coordinate with warehouses to secure equipment or initiate purchase requests.
  • Supervise the setup of offices, caravans, and storage areas.
  • Oversee transportation and installation of site facilities.
  • Maintain control of assets, expenses, and proper documentation.
  • Accommodation Management:
  • Arrange and prepare accommodation for site staff.
  • Identify, lease, and manage housing units.
  • Allocate employees based on job roles.
  • Conduct regular inspections of accommodation conditions.
  • Handle and resolve accommodation-related issues.
  • Manage handover and closure of units when no longer needed.
  • Maintenance & Operations:
  • Develop and implement preventive maintenance plans.
  • Track breakdowns and issue maintenance requests (RMR).
  • Supervise maintenance work (in-house and outsourced).
  • Maintain accurate maintenance records and ensure closure.
  • Assets & Inventory Management:
  • Maintain and update asset registers regularly.
  • Coordinate asset transfers between sites and warehouses.
  • Monitor asset issuance and returns.
  • Investigate loss/damage cases and prepare deduction reports.
  • Daily Services Management:
  • Ensure availability of pantry supplies and drinking water.
  • Monitor consumption and control variances.
  • Supervise cleaning and hospitality services.
  • Arrange meals for overtime work.
  • Financial Coordination:
  • Prepare purchase requests (PR) and payment requests.
  • Follow up on invoices and settle financial advances.
  • Monitor accommodation rent payments.
  • Coordinate with finance for approvals and cost control.
  • Reporting & Performance Monitoring:
  • Prepare periodic operational and consumption reports.
  • Track and report Key Performance Indicators (KPIs).
  • Report issues and recommend corrective actions.
  • Fleet & Transportation Management:
  • Organize employee transportation to and from the site.
  • Coordinate with drivers to ensure smooth operations.
  • Monitor daily vehicle usage and routes.
  • Review and validate monthly vehicle claims.
  • Track drivers attendance.
  • Ensure compliance with safety and operational policies.
  • Qualifications

    • Bachelor's degree in a relevant field.
    • 2-5 years of experience in a similar role (Construction / Sites).

    Required Skills

    • Strong organizational and time management skills.
    • Excellent communication and coordination abilities.
    • Strong field follow-up capability.
    • Proficiency in Microsoft Excel and ERP systems.
    • Problem-solving and decision-making skills.

    Preferred Skills

    • Experience in managing facilities in a construction environment.
    • Knowledge of safety regulations and compliance.
