WHAT YOU WILL BE DOING

The Senior Manager is a pivotal leadership role responsible for the day-to-day management and operational execution of the Building Consultancy department's five core cells: Administration, Operations, Quality, Collections, and Market Share/RFP Handling. This role is the operational engine of the department, ensuring that the strategic systems and processes implemented by the Director are maintained, optimized, and consistently followed. The successful candidate will free the Director to focus on high-level growth, business development, and strategic expansion, while they ensure internal excellence and target achievement.

RESPONSIBILITIES

Operational Leadership & Management:

  • Oversee the daily activities of the entire Building Consultancy team, ensuring seamless workflow from lead to delivery and payment. Including the following set cells within the department: Administrative, Operations, Quality, Invoicing/Collection and RFP technical handling (market share).
  • Manage and mentor the team, providing guidance and support for their teams of surveyors.
  • Enforce the use of master trackers (RFP, Operations) as the single source of truth; for all departmental activities.
  • Ensure all new project awards are assigned within the 24-hour standard and that tentative completion dates are set and met.
  • Daily follow up with each individual on the assigned jobs, ensure achieving the timeline, and client handling for both delays and technical aspects.
  • Maintain the department's backlog at near-zero, preventing the re-accumulation of parked jobs.
  • Achieve the set invoicing target by the Director.
  • Maintain the daily, weekly, monthly and quarterly summary to the Director through the set trackers and enhance it.

Administrative Excellence:

  • Supervise the Admin cell to ensure the 24-hour proposal response time standard is consistently met.
  • Oversee the client satisfaction.
  • Guarantee rigorous data management, accurate forecasting, and productive internal coordination.
  • Manage the dual-hat functions of admins supporting collections and invoicing processes
  • RFP handling, technical review, and ensure the pricing structure is matching the market expectation and within the profitability range.

Quality Assurance:

  • Develop, implement, and maintain the Quality cell, establishing standard operating procedures (SOPs) for all services.
  • Institute a quality control process for reports and client deliverables to ensure the highest standards are met.
  • Monitor client feedback and implement corrective actions to continuously improve service quality.
  • Regulatory and RICS Compliance.

Financial & Commercial Performance:

  • Work closely with the Admin cell to monitor invoicing and support the Collections cell to minimize aged debt and ensure timely payment.
  • Analyze productivity and billing data to identify inefficiencies and opportunities for improved profitability.
  • Be accountable for hitting monthly revenue, gross profit, and net profit targets set by the Director.
  • Weekly meeting with client to chase the payment collections and achieve collection target.
  • Ensure all jobs are supported by WCC from the client.

Team Development & Culture:

  • Foster the department's new learning environment by supporting cross-training initiatives (e.g., RFS, SCCA).
  • Uphold the culture of high performance, accountability, and teamwork that has been established.
  • Conduct performance reviews and contribute to development plans for junior staff.

Strategic Support & Reporting (In line with the Director direction)

  • Performance Reporting: Prepare and present detailed weekly and monthly performance reports for the Director. This includes analyzing data from all five cells (Admin, Ops, Quality, Collections, Market Share) against KPIs and presenting insights, not just data. Example: Weekly report on RFP conversion rates, project profitability, collection status, and operational bottlenecks.
  • Meeting Management: Own the agenda, documentation, and follow-up for all internal departmental meetings. Ensure action items are assigned, tracked, and completed
  • Represent the department in cross-functional meetings.
  • Target Monitoring & Forecasting: Work with the Director to cascade high-level targets into actionable monthly and quarterly goals for each cell. Continuously monitor progress and flag risks to target achievement early.
  • Business Case Preparation: Assist the Director in developing business cases for new initiatives, such as launching new services (e.g., TDD, Dilapidation Reports), hiring additional staff, or investing in new technology. This includes gathering data, analyzing costs/benefits, and drafting proposals.
  • Budget & Financial Analysis: Work with finance to track the department's budget.
  • Analyze variances in revenue and expenses, providing explanations and recommendations to the Director.
  • Risk Management: Proactively identify operational, financial, and reputational risks to the department. Develop mitigation plans and present them to the Director for review.
  • Special Projects: Lead key departmental improvement projects assigned by the Director (e.g., full implementation of the Quality and Market Share cells, selecting and onboarding a new CRM software, standardizing report templates across the team).
  • Process Optimization: Continuously review and challenge existing processes. Propose and implement improvements to enhance efficiency, quality, and client satisfaction across all five cells.

Technical Expertis:

  • Professional Accreditation: Holds RICS certification, demonstrating a formal commitment to RICS professional standards and ethical practices.
  • RERA Compliance & Advisory: Delivers statutory services mandated by the Real Estate Regulatory Agency (RERA), including Reserve Fund Studies, Service Charge Cost Allocation, Building Condition Audit, Reserve Fund Usage Validation, Service Charge Modelling and Technical Due Diligence.
  • Asset Lifecycle Analysis: Conducts detailed Life Cycle Cost Analysis to advise clients on long-term capital expenditure and asset performance.
  • Property Condition Assessments: Performs comprehensive Property.
  • Condition Surveys, including snagging and de-snagging inspections to verify construction quality and completion standards.
  • Stakeholder Engagement: Leads technical meetings with developers, facilities management teams, community associations, and auditors to align project scope, technical requirements, and deliverables.
  • Regulatory Auditing: Executes RERA-directed technical audits and site inspections to evaluate building conditions, identify defects, and ensure community assets are properly maintained.
  • Quality Assurance & Compliance: Reviews and authorizes technical reports, ensuring all deliverables adhere to regulatory standards and internal quality control protocols.
